CUSTOMER SERVICE REPRESENTATIVE

$16-$18/hour DOE

Pharr, TX

M-F 8am-5pm (overtime/on call as needed)

1.0 INTRODUCTION

The purpose of this document is to define the duties, responsibilities, and performance expectations of a Customer Service Representative. The representative is responsible for delivering professional customer support to ensure the smooth flow of freight services and optimal satisfaction of client needs.

2.0 FUNCTIONAL ROLE

  • Ensure the professional handling of all customer interactions.
  • Assist customers with inquiries, complaints, and service-related issues in a courteous and timely manner.
  • Support sales activities by preparing quotes for existing and potential customers.
  • Maintain and update customer data and rate information in the transportation software.

3.0 REQUIREMENTS

Education

  • Required: High school diploma or GED
  • Preferred: Associate or Bachelor's degree, especially with information systems coursework

Experience

  • Required: 3 years in customer service within the transportation or trucking industry
  • Preferred: 5 years of experience in customer service, with knowledge of PC-based order entry systems

Skills, Knowledge, and Abilities

  • Strong customer service and communication skills
  • Bilingual: Fluent in English and Spanish (written and spoken)
  • Proficiency in Microsoft Office and transportation management software
  • Ability to handle competing priorities in a fast-paced environment

Licensing & Certifications

  • Valid driver’s license

4.0 DUTIES AND RESPONSIBILITIES

  • Assist customers with order placement, service updates, and issue resolution
  • Input and manage customer data, rates, and service orders in the company system
  • Provide support to the Dispatch and Driver Management teams to ensure freight moves smoothly
  • Refer sales leads and service feedback to the appropriate internal departments
  • Participate in training sessions and maintain awareness of company procedures
  • Maintain a clean, professional appearance and conduct at all times
  • Ensure a safe and healthy working environment
  • Maintain confidentiality of all company and customer information
  • Perform other duties as assigned by management
