CUSTOMER SERVICE REPRESENTATIVE
$16-$18/hour DOE

M-F 8am-5pm (overtime/on call as needed)
1.0 INTRODUCTION
The purpose of this document is to define the duties, responsibilities, and performance expectations of a Customer Service Representative. The representative is responsible for delivering professional customer support to ensure the smooth flow of freight services and optimal satisfaction of client needs.
2.0 FUNCTIONAL ROLE
- Ensure the professional handling of all customer interactions.
- Assist customers with inquiries, complaints, and service-related issues in a courteous and timely manner.
- Support sales activities by preparing quotes for existing and potential customers.
- Maintain and update customer data and rate information in the transportation software.
3.0 REQUIREMENTS
Education
- Required: High school diploma or GED
- Preferred: Associate or Bachelor's degree, especially with information systems coursework
Experience
- Required: 3 years in customer service within the transportation or trucking industry
- Preferred: 5 years of experience in customer service, with knowledge of PC-based order entry systems
Skills, Knowledge, and Abilities
- Strong customer service and communication skills
- Bilingual: Fluent in English and Spanish (written and spoken)
- Proficiency in Microsoft Office and transportation management software
- Ability to handle competing priorities in a fast-paced environment
Licensing & Certifications
4.0 DUTIES AND RESPONSIBILITIES
- Assist customers with order placement, service updates, and issue resolution
- Input and manage customer data, rates, and service orders in the company system
- Provide support to the Dispatch and Driver Management teams to ensure freight moves smoothly
- Refer sales leads and service feedback to the appropriate internal departments
- Participate in training sessions and maintain awareness of company procedures
- Maintain a clean, professional appearance and conduct at all times
- Ensure a safe and healthy working environment
- Maintain confidentiality of all company and customer information
- Perform other duties as assigned by management
