Job Description — Classified Positions

Job Title: Clerk - Data Entry Bilingual/ESL Wage/Hour Status: Non-Exempt

Reports to: Director of Multilingual Programs Pay Grade: AS 5 / 226 Days

Dept./School: Educational Services Division Date Revised: May 16, 2025

Primary Purpose:

Assist the efficient operation of the Multilingual Programs database that reports data to the district student services office and provide clerical services to the director.

Qualifications:

Education/Certification:

  • High School Diploma or GED

Special Knowledge/Skills:

  • Ability to enter data quickly and accurately
  • Proficient skills in typing, word processing, and file maintenance
  • Effective communication and interpersonal skills
  • Basic math skills
  • Working knowledge of Microsoft Office system in Microsoft Word and Excel
  • Working knowledge of Google Drive
  • Ability to operate computer

Preferred Experience:

  • Three years of successful secretarial or clerical experience in the related field

Major Responsibilities and Duties:

  1. Demonstrate acceptable work habits including teamwork, initiative, and dependability.
  2. Manage the routine work activities in the Multilingual Programs office.
  3. Prepare correspondence, forms, reports, etc. for the assigned administrator.
  4. Receive incoming calls, take reliable messages, and route all to appropriate staff.
  5. Receive, sort, and distribute mail and other documents to staff members.
  6. Maintain, manage, and organize records and files.
  7. Maintain inventory of BIL-ESL materials (dictionaries, testing, materials, etc.)
  8. Maintain confidentiality of information.
  9. Perform routine bookkeeping tasks, including simple arithmetic operation of the office.
  10. Participate in in-service training programs.
  11. Keep informed and comply with all state and district policies and regulations concerning primary job functions.
  12. Maintain electronic data records of English Learners, Immigrants, and At-Risk students.
  13. Monitor Emergent Bilingual (EB) data entered for PEIMS and state compliance.
  14. Accurately enter data into corresponding fields within various software programs.
  15. Identify and correct data entry errors.
  16. Prepare relevant reports as needed.
  17. Perform any other duties and/or tasks that may be assigned on an as needed basis.

Tools/Equipment Used: Standard office equipment including personal computer and

peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions, frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: Frequent district-wide travel; occasional statewide travel; frequent prolonged and irregular hours.

Mental Demands: Normal office environment, numerous phone calls, subject to frequent

interruptions, subject to frequent short deadlines, ability to communicate effectively (verbal and written); interpret policy, procedures, and data; coordinate district functions; maintain emotional control under stress.

Other: Follow district safety protocols and emergency procedures; Other duties as assigned
