Function / Position Summary
The Assistant Director of Planning and Systems plays a vital leadership role within the Plant Operations department. This position is responsible for overseeing the front office and rentals program while supporting key operational areas, including Environmental Services, Energy Management, Building Access and Security Control (BASCO), Financial Operations, and Capital Projects. This role also manages all intergovernmental agreements and long-term contracts related to Plant Operations. Acting as a strategic partner and departmental representative, the Assistant Director ensures the alignment of operations with district goals in sustainability, efficiency, and facility usage. This position requires exceptional collaboration skills, as it regularly interfaces with internal departments, community partners, and external agencies.
Job Duties / Responsibilities
- Collaborate effectively with the Assistant Director of Operations and Maintenance to identify and implement opportunities for process improvements, optimize the use of departmental resources, and ensure cohesive and efficient support of departmental functions.
- Ensure front office operations are aligned with departmental goals, service standards, and district policies by providing guidance and monitoring performance outcomes.
- Maintain all department standard operating procedures (SOPs) and ensure that SOPs are reviewed and updated to reflect current processes.
- Assist in the development and implementation of long-term plans for facility operations, space utilization, and infrastructure needs.
- Support the development and oversight of the department’s budget, including monitoring expenditures, analyzing financial data, and identifying opportunities for cost savings and improved operational efficiency.
- Manage and routinely audit all aspects of the master buildings and fields schedule and district rental program, including scheduling, invoicing and depositing revenue. Oversee building usage by both internal and external stakeholders.
- Maintain all Plant Operations’ intergovernmental agreements and enduring contracts. Represent the district in routine meetings with stakeholders to review contracts and align expectations.
- Assist in the management of the facility management software and systems (e.g., Computerized Maintenance Management Systems – CMMS) in an endeavor to streamline operations, track preventative maintenance schedules and timely completion of work orders, and improve efficiency.
- Collect, analyze, and report data related to facility performance, energy usage, maintenance costs, and operational efficiency while implementing energy-efficient systems, renewable energy solutions, and green building practices.
- Assist in the planning and coordination of capital projects and other special projects, providing administrative and project oversight, quality assurance, project close-out, cost monitoring and cost control support.
- Ensure that all environmental activities comply with safety regulations, building codes, and other legal requirements. Oversee safety protocols and emergency response plans.
- Assist in the procurement of services/products including but not limited to drafting bids/RFPs, evaluating submissions, submitting Board proposals, and executing and managing related contracts.
- Manage, oversee, and prepare interdepartmental forms, departmental memos, presentations, and reports as needed.
- Attend Board of Education Meetings as required.

Education
- Bachelor’s Degree in Business Administration, Finance, Facilities Management, or a related field (preferred).
- Minimum of five years of relevant leadership experience in operations or facilities management.
- CPS and CPMM certifications preferred.
- Bilingual proficiency in Spanish and English is a plus.
Experience / Knowledge
- Proven experience in operations management, project oversight, and staff supervision.
- Strong working knowledge of custodial services, purchasing, and financial systems.
- Proficiency with Google Workspace and Microsoft Office (Excel, Word, PowerPoint), Adobe software, and project management tools.
- Familiarity with accounting principles, contract management, and procurement practices.
- Excellent problem-solving, communication, and organizational skills.
- Attention to detail and a high level of accuracy.
- Valid Illinois driver’s license and reliable transportation required.
- Ability to handle confidential information with integrity.
Physical Demands
- Ability to travel throughout the district for site visits and meetings.
- Capable of working in a fast-paced environment with shifting priorities.
- Must be able to lift and carry items (e.g., file boxes) weighing up to 25 pounds.
- Occasional bending, lifting, and kneeling required.
Terms of Employment
- This is a 12-month work year position. Salary and benefits as established by the Board of Education.
- The salary range for this position is $100,716.00 - $151,055.00. It is our typical practice to hire in between the minimum and midpoint ($125,888.00)
