What You’ll Do

The Executive Assistant (EA) provides high-level administrative support to the Chief Information Officer (CIO) and select staff, managing complex scheduling, coordinating daily operations, and serving as the central administrative point for the Information Technology Department. This role involves overseeing and delegating tasks to IT Administrative Specialists to ensure efficient office operations, while also handling sensitive and confidential matters with professionalism and discretion. The EA must be proactive, organized, and adaptable in a fast-paced environment, with opportunities to lead and support key departmental projects.

Responsibilities:

  • Schedule and coordinate meetings, appointments, and travel arrangements for IT Leaders and Staff
  • Maintain and update office files, records, and databases
  • Prepare and distribute correspondence, reports, and other documents
  • Handle incoming and outgoing communications, including phone calls, emails, and mail
  • Manage office supplies inventory and place orders when necessary
  • Assist in the preparation of regularly scheduled reports
  • Provide general support to visitors and employees
  • Develop and implement office procedures to improve efficiency
  • Organize and facilitate company events and meetings
  • Coordinate with other departments to ensure seamless operations
  • Handle confidential and sensitive information with discretion
  • Monitor office expenditures and assist in budget preparation
  • Conduct research and compile data for various projects
  • Manage communications with senior level internal and external customers. Maintain a variety of soft and hard copy records/files that involve company proprietary data that if revealed would be detrimental to the company's interests.
  • Coordinate, facilitate, and provide support for various conferences, meetings and events with a high degree of tact and diplomacy. Teams connections and coordinate large virtual meetings. Handle the catering for meetings and events. Coordinate highly visible meetings and support international guests during these meetings.
  • Other duties as assigned

Requirements

  • Minimum of a high school diploma
  • Previous clerical experience required
