Job Description

The Academic Records Evaluator supports the work of the Academic History Team in ensuring students are presented with accurate transfer credit information in their degree audits. The position is primarily responsible for evaluating domestic and international undergraduate transfer credit, including study abroad. The Academic Records Evaluator performs quality control reviews to verify accuracy of transfer work including researching articulation entries and making necessary corrections. The position assists with other specialized population transfer evaluations during high volume times and oversees Course Substitution process. The position serves as backup for a number of other academic history processes and tasks and assists with other Academic Records Evaluator processes during peak seasons.

Responsibilities

Performs Transfer credit evaluations for courses and institutions without existing equivalencies; maintains transfer institutions in the Banner Student Information System; maintains the Academic History Term Course Maintenance Module in the Banner Student Information System; enforces and monitors activities for compliance with applicable procedures, policies, rules, and regulations; performs annual reviews of courses offered by Tennessee Board of Regents institutions to ensure transfer articulation tables remain current; collaborates with Schedule Coordinator and Associate Registrar to update articulation tables to reflect UTC curriculum changes; and conducts regular reviews of Tennessee Transfer Pathway documents and ensure curriculum codes are updated to reflect current active pathways.

Performs various activities requiring analysis and judgment in alignment with broad principles, practices, and professional standards; work is guided by objectives and expected outcomes with limited direction; refers new or complex problems to a higher level; collaborates with the Center for Global Education (CGE) and academic advisor to provide timely credit evaluations for international students applying for undergraduate admission; works closely with CGE to ensure students participating in study abroad have accurate information on how study abroad credit will transfer and apply to their UTC requirements; and makes corrections in the Transfer Course Information Form (SHATRNS) and the Transfer Course Articulation Form (SHATATR) as needed.

Processes Course Substitution Forms for all Undergraduate Students and directs them to the appropriate College and Graduation team member within the Office of the University Registrar for processing on the student's MyMocsDegree; ensures compliance with applicable policies and procedures; and designs, consults on, plans, and oversees special projects pertaining to student records maintenance and Banner maintenance as needed.

Assists with Major Changes during Peak Seasons; assists with Transfer Evaluations for NCAA athlete applicants during peak seasons of the Transfer Portal; assists with other Academic History processes as needed; understands repeat processes and policies; processes major changes, serves as back up for the Duplicate ID/PIDM process, grade change process, and academic forgiveness process.

Qualifications

Minimum Qualifications: Associate’s degree with at least 1 year of experience in higher education in a Registrar’s Office; prior work experience in registrar or enrollment management field may serve as a proxy for education - every two years of experience will count as a year of post-secondary education; familiarity with the standard higher education records-keeping procedures, FERPA and other legal issues relating to official academic records or academic history; and experience and proficiency in Microsoft Office applications and Banner or other computer student information systems.

Preferred Qualifications: Bachelor’s degree with 3 to 5 years of experience in higher education in a Registrar’s Office; familiarity with the standard AACRAO records-keeping procedures, FERPA and other legal issues related to official academic records or academic history; Banner experience using Student module and Degree Works; and capable of working independently with the ability to quickly assimilate and apply information and new technologies.
