POSITION SUMMARY:

The HOA Community Manager Assistant provides essential support to the Community Manager in overseeing the operations of homeowner associations. This role involves direct communication with homeowners, vendors, and board members; coordination of meetings and documentation; and assistance with enforcement, project tracking, and administrative tasks. The ideal candidate is detail-oriented, highly organized, and capable of handling a variety of responsibilities in a fast-paced, customer-focused environment.

KEY RESPONSIBILITIES:

Resident & Board Support:

  • Respond to homeowner inquiries in a professional and timely manner
  • Prepare and distribute homeowner communications, newsletters, and notices
  • Assist with Board meeting preparation, including agendas, packets, and minutes
  • Attend meetings and take minutes as needed

Administrative Duties:

  • Maintain accurate records and files for each community
  • Support the processing of architectural review submissions and violation notices
  • Track and follow up on action items for boards and vendors
  • Update and manage community websites and portals

Project & Vendor Coordination:

  • Assist with coordinating maintenance requests and monitoring project timelines
  • Communicate with vendors and contractors for scheduling and service verification
  • Follow up on open work orders to ensure completion and quality of work

Compliance & Governance:

  • Support the enforcement of community rules and CC&Rs under the manager's direction
  • Monitor and update violation logs and compliance letters
  • Help conduct visual property inspections when requested

QUALIFICATIONS:

Education & Experience:

  • High school diploma or equivalent required; associate degree preferred
  • 1–2 years of experience in property management, HOA support, or administrative roles

Skills & Abilities:

  • Strong customer service and communication skills
  • Proficient in Microsoft Office (Word, Excel, Outlook); experience with AppFolio or similar software is a plus
  • Exceptional organizational and multitasking ability
  • Ability to work both independently and as part of a team
  • Strong attention to detail and follow-through

Other Requirements:

  • Availability to attend occasional evening meetings
  • Valid driver’s license and reliable transportation for site visits, if applicable
