Keystone is a premier consulting firm that takes a unique interdisciplinary approach combining economics, tech, and strategy to solving the most complex challenges for leading technology firms and global brands. Keystone supports both strategy work defining the future of the technological ecosystem and legal proceedings relating to technology such as intellectual property and competition law.

At Keystone everything is an opportunity for creativity. Transformative ideas can contradict common knowledge. Surround yourself with inspiring leaders. Work hard and be nice to people. Trust can get through catastrophe. Just keep moving forward. Impact takes work. It is never too far gone to salvage. We can deliver anything. Unprecedented outcomes come from unconstrained thinking.

For this position, we are looking for an ambitious and self-driven individual to join us as an Executive Assistant, who will support three leaders at Keystone: i) our President of Client Services, ii) a Partner in our Management Science Center of Excellence, and iii) our Chief Scientific Advisor. Keystone has grown substantially each year, and this position is critical to our continued growth. You will work directly with the leadership of the firm to creatively solve problems and foster our company’s culture.

In this role, you will develop a deep understanding of the working styles of the executives you support and their priorities to become a proactive thought partner in managing your executives’ time in a fast-paced, high volume, and ever-changing client service environment. Ideally, the skills you need to possess to be successful in this role are:

  • Excellent communication: clear and effective communication skills, both written and verbal, with the ability to interact with all levels of the organization professionally and appropriately
  • Organizational skills: exceptional organizational skills with the ability to manage a high volume of work successfully and efficiently by working both autonomously and as part of a wider team
  • Adaptability: flexibility and initiative to adapt to the dynamic nature of a scale up environment and the ability to thrive in a fast-paced, and at times ambiguous setting

Some of your responsibilities will include:

  • Ensuring that the executives you support have what they need to seamlessly serve the expectations of our clients and internal commitments/goals through anticipating the needs of your executives and stakeholders, looking ahead and preventing problems from arising, and keeping up with the fast pace of our consulting team
  • Managing executive calendars by taking ownership of high-volume complex meeting/event scheduling across international time zones, calendar conflict resolution, advising stakeholders on next steps/responses, and exercising discretion and judgement on escalation
  • Maintaining professionalism and efficiency when representing Keystone and the executives you support through your email, phone or in-person interactions
  • Coordinating end-to-end travel needs in a thoughtful and practical manner, including booking (and rebooking, unbooking) all travel, hotels, venues/restaurants, and ensuring trips are consistently smooth and seamless while being mindful of itineraries, directions, commuting time and ground transportation
  • Supporting administrative aspects of leadership’s internal commitments: practice area activities, committees, recruiting, processing timesheets and expenses on a timely basis
  • Proactively leaning in to support high-leverage activities for leadership (this will vary by executive):
    • Assisting with account planning and client relationship management
    • Conducting research and gathering information
    • Assisting with the creation and preparation of client team materials – slides, proposals, onboarding decks, including proofreading and copying/binding
    • Additional items that you (or the leadership) feel may be helpful – be creative and think outside the box
    • Keeping leadership informed of critical information they may not be aware of
    • Coordinating and booking large scale events for leadership
  • Coordinate gifting programs on behalf of Keystone to external parties; including shipping, receiving and communications
  • Act as a gatekeeper to each executive’s time, calendar, and daily schedules to ensure the executive can be productive and efficient
  • Manage ad hoc personal requests such as appointment coordination, office set up, travel, document organization, etc.

US Salary Range: $120,000-140,000, plus an annual discretionary bonus, 401k contribution, and competitive benefits package. Actual compensation within the range will depend upon the level the individual is hired into based on their skills, experience, qualifications.
