Position Overview

This temporary department coordinator plays a key role in supporting the daily operations of the department by managing administrative tasks, and ensuring smooth communication across the SSSP team and with program participants. The individual will work closely with SSSP leadership and team members to streamline processes, manage resources, and provide logistical support, contributing to the overall efficiency and success of SSSP initiatives. The ideal candidate is organized, detailed-oriented, and proactive, with a strong ability to juggle multiple priorities in a fast paced environment.

Key Responsibilities

  • Maintains a positive, clean, and welcoming office environment for students and staff.
  • Provide administrative support including: answering phones, scheduling appointments, and meetings for staff.
  • Assist with student leader training and scheduling.
  • Respond to student, faculty, and staff inquiries via email and phone.
  • Support event planning and coordination for end-of-semester activities.
  • Oversees the use and maintenance of the program computer lab and various borrowing programs.
  • Web Management, and Material Creation: Assist with writing correspondence to students and staff; manage program inquiries; maintain program social media accounts including Instagram, Facebook, and Constant Contact newsletters; create content for social media such as flyers and advertisements, and microcontent such as informative short-form videos and print/digital materials. Updates website and list-servs.

Communication & Student Support

  • Assist in sharing announcements and updates with students and student staff (tutors & peer mentors).
  • Provide guidance to students on how to access academic resources.

Operational Support

  • Help with basic office management tasks, such as organizing files and supplies.
  • Process paperwork related to student support programs.
  • Help with the recruitment process and onboarding of new students including our SSSP pre-orientation program.
  • Collaborate with staff to ensure smooth day-to-day department operations.

Expectations & Time Commitment

  • Ability to work in-person on the Brandeis University campus.
  • This position is primarily office-based with primary work on a computer, including phone, email, in-person meetings, and video conferencing.
  • The time commitment for the department coordinator duties will be 20 hours per week, based on workload and department needs.
  • This is a temporary role until August 31, 2025, with the possibility of adjustments based on department needs.
  • This position will be required to coordinate on-site event execution and office organization, which may include moving furniture and other items, navigating event spaces, and communicating verbally with staff.
