Residence Life is a strategic campus partner in the Involvement and Belonging area of the Office of Student Life. We house approximately 13,000 predominantly first-year students in 14 traditional residence halls and 6 unfurnished apartment communities. In addition to our traditional floors, we have 21 Living Learning Centers and Thematic Communities.

Job Summary

Under general supervision, provides more complex administrative support to the Associate Director for Strategic Initiatives and the Assistant Director for Selection and Training. May include, but not limited to, answering phone calls, setting appointments, and preparing sensitive correspondence.

Department-Specific Responsibilities

  • Provides administrative support by corresponding with stakeholders, preparing reports, and presentations.
  • Serves as a resource for departmental colleagues as questions arise and clarification of processes is needed, exercising confidentiality, tact, and diplomacy.
  • Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.
  • Monitors the RLJobs email account and be the primary person to review, respond to, or redirect correspondence to the appropriate person.
  • Provides comprehensive administrative support, including managing calendars, scheduling appointments, coordinating meetings, and coordinating conference registration and travel arrangements for the Associate Director for Strategic Initiatives.
  • Manages and updates data management systems while ensuring accuracy of information for the Staff database, Customer Relationship Management (CRM) cases, SharePoint, BeInvolved account, and other appropriate systems.
  • Assists with the department hiring process, which includes collecting applicant information, tracking applicant progress, arranging for travel, and creating interview schedules.
  • Assists with the preparation of training materials and serves as support for training events.
  • Assist with end-of-year events.
  • Prepares and assists with purchase orders, completes supply orders, disbursement vouchers, and hospitality forms.
  • Other duties as assigned.

General Responsibilities

  • Provides administrative support to a department or group of professionals, exercising confidentiality, tact, and diplomacy.
  • Utilizes business software applications to prepare correspondence, reports, presentations, agendas, and minutes.
  • Compiles data for expense and statistical reports.
  • Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.
  • Schedules and confirms appointments, meetings, and travel arrangements; tracks expenses.
  • Participates in the development and implementation of administrative standards, policies, and practices for the organization.

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED)

WORK EXPERIENCE

Required

  • 2 years of relevant experience

Preferred

  • 2 years of office experience in a college or university setting

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Work Hours

Monday - Friday, 8:00 AM - 5:00 PM

Management reserves the right to adjust work hours to accommodate special events.
