SUMMARY:

Under occasional supervision, performs varied routine to moderately complex secretarial and clerical work requiring knowledge of practices and procedures of the District in order to effectively support the Transportation Department. Communicate information, problem solve and provide necessary contributions to the efficiency of the office and to provide necessary image of the office to internal and external visitors. Drive a school bus or monitor a school bus when needed or necessary.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Makes and receives telephone calls, takes messages, routes calls.
  • Maintains confidential files and records containing employee information.
  • Receives, opens and routes incoming mail. Prepares mail for courier delivery and postal services.
  • Greets visitors, gives directions to meeting places and other information as necessary.
  • Types, prepares, distributes, files records/reports, correspondence, mailings etc. related to department functions and needs.
  • Orders, processes, and maintains office materials and equipment.
  • Operates standard office equipment.
  • Distributes correspondence, flyers, and written communication.
  • Assumes responsibility of any special assignment deemed necessary by the department.
  • Serves as key operator for office equipment and calls for service when necessary.
  • Prepares requisitions for office supplies.
  • Gathers information from files or other sources to assist in preparing reports as required.
  • Schedules appointments and assists in maintaining supervisor’s calendar.
  • Processes purchase/work orders, maintains accurate records of expenditures and balances, processes expense vouchers and tracks department’s budget.
  • Keys and balances payroll.
  • Process all initial paperwork for new department employees.
  • Assists area secretaries as needed.
  • Oversees and maintains Federal Drug Testing Program.
  • Drive a school bus or monitor a school bus when needed or necessary.
  • Performs other duties as may be assigned by Supervisor.

JOB SPECIFICATIONS

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED) plus specialized training/experience in office administration, accounting, bookkeeping or closely related field.

CERTIFICATES, LICENSES, REGISTRATIONS

Must obtain and maintain a CDL and a School Bus Driver Certificate.

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees or organization.

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY:

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

OTHER SKILLS and ABILITIES:

Ability to operate a personal computer and related software. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies. Ability to maintain effective relationships with the public, other staff members, and school employees.

Clerk and Office Staff Salary Pay Scale

The terms of employment detailed in this job description are based on full time employment during the school year. Conditions of employment are adjusted for part time employees or individuals who are hired for less than an entire school year.
