Position Summary:

The Administrative Specialist III provides high-level administrative support by coordinating office operations, conducting research, preparing specialized reports, and assisting in the development, revision, and implementation of administrative policies and procedures as directed by the supervisor.

Duties & Responsibilities:

  • Drafts, types, and edits a variety of documents—including correspondence, reports, forms, and training materials—using a typewriter, word processor, or computer from rough drafts.
  • Serves as the office receptionist: welcomes and directs visitors, answers phone calls, addresses routine inquiries about policies and procedures, and assists with form completion or referrals.
  • Establishes, maintains, and retrieves data from both electronic and paper filing systems for reporting and reference purposes.
  • Develops or modifies documentation formats for new or updated word processing tasks.
  • Recommends improvements to word processing procedures; formats data for reports using appropriate fonts, graphics, and layout designs.
  • Processes documents by logging, coding, verifying, recording, and recalculating information.
  • Provides training and technical support to administrative and professional staff on word processing systems, including troubleshooting and issue resolution.
  • Manages all responsibilities related to course registration and schedule creation within the Banner system.
  • Issues student permits, monitors enrollment, and assists students during the registration process.
  • Processes and prepares program applications for review by admissions committees.
  • Performs additional duties as assigned.

Knowledge/Skills/Abilities:

Understanding of mathematical and statistical principles.

Proficiency in research and analytical methods.

Knowledge of administrative procedures and subject-matter area.

Skilled in using computers and standard office software.

Strong written and verbal communication skills.

Ability to research and evaluate data related to programs and procedures.

Capability to interpret and apply organizational policies.

Competence in analyzing financial records and creating reports.

Effective at planning, organizing, and supervising tasks or staff.

General Days/Hours:

Monday - Friday

8:00 a.m. - 5:00 p.m.

Minimum Qualifications:

High School Diploma or equivalent.

At least one (1) year of specialized training in business management, business education, or a related field.

Minimum of two (2) years of experience in a specialized or related administrative role.

Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
