Department 00089 - English Job Summary

The Office Assistant for the English department greets and assists visitors in person or over the telephone and provides general office support.

Responsibilities

  • Serve as front desk and face of the department. Represent the Department in a professional and welcoming manner, greet visitors, and field requests.
  • Maintain the office space including break areas and student lounge. Oversee office supplies and needs. Keep the kitchen and lounge areas stocked.
  • Manage webpage and social media. Collaborate with the College marketing team. Assist faculty and students to promote English events, spotlights, and news.
  • Assist faculty and staff with copy and scanning needs. Oversee the maintenance of the copier and copy room.
  • Keep calendars and schedules for the department events. Help schedule rooms for meetings.
  • Work with staff and faculty in facilitating department events (scheduling, ordering food, etc.).
  • Assist with department committee and leadership needs, including the publicity of events, flyers, posters, and announcements.
  • Assist in office organization, including the upkeep of faculty and student mailboxes and department bulletins. Ensure daily collection and distribution of mail.
  • Submit maintenance requests and work orders to related university facilities.
  • Report and oversee any issues with the department spaces.
  • Answer or forward any questions related to registration, courses, faculty information, graduate admissions, advising appointments, etc.
  • Work closely with staff to assist in their assignments. Direct students to appropriate staff.
  • Be willing to expand this role and take on new responsibilities to include, but not to be limited to, minor accounting-related activities.

Minimum Qualifications

This job posting is only available to University of Utah students who have been awarded a Federal Work-Study Award for summer (May 1 – June 30). Beginning July 1, the employee will need to be eligible and have been awarded Work Study for Fall 2025. This position requires two different work study awards and two different EAFs.

High school diploma or equivalency (one year of education can be substituted for two years of related work experience) required. One year full-time customer service experience or equivalency, demonstrated human relation and effective communication skills also required.

  • Familiarity with University of Utah policies and procedures, as well as University systems is preferred.
