Position Description

Serves as personal, confidential and technical secretary to the Superintendent of Schools.

This is a highly responsible, high-level Administrative Assistant position. It is distinguished from other secretarial positions by the confidential nature and level of responsibility, by the secretary’s responsibility for representing the Superintendent to the public, and in official contact with other Board of Education administrators, Board Members and other governmental agency representatives.

Essential Functions

  • Responsible for the efficient operation of the Superintendent's Office.
  • Prioritizes and identifies critical tasks.
  • Maintains the Superintendent's calendar and schedules his/her time.
  • Makes travel arrangements for the Superintendent when necessary.
  • Maintains the Superintendent’s office budget.
  • Ascertains name and purpose of Superintendent’s callers and visitors.
  • Uses independent judgment in determining the sensitivity of an issue or inquiry (based on public relations considerations, Board of Education policies and Superintendent’s procedures), and personally gives information—or forwards contact—to appropriate source.
  • Composes and/or transcribes correspondence at the request of the Superintendent for the signature of the Superintendent, Board Member, and/or other staff members.
  • Attends, takes and transcribes minutes of meetings, including—but not limited to—Board of Education meetings, senior staff meetings, negotiations strategy meetings, legal matters, and other administrative meetings.
  • Provides technical support to the Superintendent and the Board, both as a body and as individuals, in the planning and conduct of regular and special meetings and in activities attendant to membership of the Board.
  • Develops schedule of regular board meetings each calendar year.
  • Prepares Board meeting agendas, including personnel recommendations, board letters, consent agenda, business affairs recommendations and pertinent attachments for all Board meetings (regular meetings, special meetings, executive sessions, and retreats).
  • Takes minutes at Board of Education meetings.
  • Assists the Superintendent in official contact with Board Members, Akron Public Schools administrators, and other governmental agency representatives.
  • Assists the Superintendent in the administrative obligation to the Board by preparing or assisting in the preparation of principal documents that constitute the formal work of the Board.
  • Serves as a resource and provides information to Board of Education Members.
  • Serves as liaison to the public and staff in regard to Board of Education meetings, policies, procedures and records.
  • Honors confidentiality in all matters.
  • Assists in achieving the Superintendent’s goals and goals of the Akron Public Schools.
  • Logs mail and correspondence.
  • Promotes good public relations.
  • Promotes good safety practices and procedures.
  • Performs related work as required.

REQUIREMENTS:

Required Knowledge, Skills, and Abilities:

  • Extensive knowledge of the organization and functions of a Board of Education or similar organization
  • Considerable knowledge of the policies, responsibilities, functions, practices, and resources of the Akron Public Schools and Board of Education preferred
  • Extensive knowledge of office practices and procedures, English grammar, spelling, arithmetic, and business correspondence and reporting formats
  • Ability to take and transcribe dictation and type at a high skill level
  • Ability to establish, maintain, and retrieve records and information resources
  • Ability to provide courteous and efficient service to callers and visitors
  • Ability to use accurate and independent judgment in deciding matters needing the attention of the Superintendent or other administrators and in the personal supplying of requested information
  • Ability to be flexible and adapt to changing situations
  • Ability to listen effectively
  • Ability to anticipate and prepare materials needed for meetings, procedures, and events
  • Ability to communicate ideas and directives clearly and effectively, both orally and in writing
  • Ability to monitor and delegate assignments to other clerical personnel

Minimum Qualifications:

  • Bachelor’s Degree preferred
  • Minimum of five (5) to seven (7) years of responsible office experience at an executive level and/or equivalent combination of education and/or experience
