ALTSD provides accessible, integrated services to older adults, adults with disabilities, and caregivers to assist them in maintaining their independence, dignity, autonomy, health, safety, and economic well-begin, thereby empowering them to live on their own terms in their own communities as long and productively as possible.

External Affairs is a cross functional team within the Office of the Secretary. External Affairs works to reduce silos, streamline and create consistent cohesive communications. It will build capacity with the goal of managing all public-facing information, centralizing marketing initiatives and communication efforts for all Agency programs and services.

Why does the job exist?

Recruitment, training, and management of volunteers is an essential function in a variety of ALTSD programs and initiatives, including in the Long-Term Care Ombudsman Program, the Aging and Disability Resource Center, and the Aging Network. This position will create a centralized volunteer program to ensure volunteers are effectively communicated with, find the best fit within the organization, are utilized and supported while helping the agency reach its mission and goals.

How does it get done?

1. Volunteer Recruitment and Onboarding:

o Lead recruitment efforts for volunteers across multiple ALTSD programs and divisions.

o Develop and implement strategies for attracting a diverse group of volunteers.

o Screen, interview, and select volunteers based on volunteer interest and experience, and program needs.

o Facilitate volunteer orientation with program leads and ensure all new volunteers are fully onboarded.

2. Volunteer Training and Support:

o Design and deliver ongoing training programs to ensure volunteers are equipped with the skills and knowledge necessary for their roles.

o Monitor volunteer satisfaction and engagement, addressing concerns and offering solutions when needed.

3. Volunteer Scheduling and Coordination:

o Develop and maintain a volunteer management system to track hours, assignments, and performance.

o Ensure all volunteers are matched with appropriate opportunities that align with their skills and interests.

4. Program Development and Oversight:

o Collaborate with program managers to understand volunteer needs and ensure the effective integration of volunteers into programs.

o Work with the leadership team to expand and improve volunteer-driven programs.

o Help assess volunteer programs regularly to ensure goals and objectives are met.

5. Recognition and Retention:

o Develop and implement strategies to recognize and appreciate the contributions of volunteers.

o Create opportunities for volunteers to network, learn, and grow within the agency.

o Track volunteer retention rates and suggest improvements to keep volunteers engaged long-term.

6. Administrative Support:

o Maintain accurate volunteer records and reports, including tracking volunteer hours and impact.

o Assist in preparing budgets and efforts related to volunteer programs.

o Ensure all necessary paperwork, background checks, and safety protocols are followed for all volunteers.

7. Community Outreach and Partnerships:

o Build and maintain relationships with local organizations and partners to create opportunities for volunteer involvement.

o Promote volunteer opportunities through various channels, including social media, websites, community organizations and events.

8. ALTSD community events

o Coordinate and schedule ALTSD staff for external state and community events as assigned.

o Ensure all necessary materials and equipment are available for events.

Experience:

o Experience in volunteer management, nonprofit operations, or community engagement.

o Experience working with a large and diverse group of volunteers.

o Proven ability to develop and implement effective volunteer programs.

Skills:

o Strong organizational, communication, interpersonal, and presentation skills.

o Ability to manage multiple tasks and projects simultaneously.

o Proficient with volunteer management software and Microsoft Office Suite.

o Ability to work both independently and as part of a team.

o Conflict resolution and problem-solving skills.

Minimum Qualification

Bachelor's Degree and five (5) years of experience in program administration or project management in areas related to the purpose of the position. Any combination of education and/or direct experience in this occupation totaling nine (9) years may substitute for the required education and experience.

  • Education and years of experience must be related to the purpose of the position.
  • If Minimum Qualification requires a specific number of "semester hours" in a field (e.g. 6 semester hours in Accounting), applicants MUST have those semester hours in order to meet the minimum qualifications. No substitutions apply for semester hours.

Employment Requirements

Must possess and maintain a valid Driver's License.

Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within 90 days of employment.

Working Conditions

Work is performed in both an office setting with exposure to visual/video display terminal and personal computer and phone usage and in the field conducting volunteer recruitment events. Some statewide travel and flexibility to attend evening or weekend events is necessary.
