Why does the job exist?

The FACTS Incidental Payment Specialist serves CYFD staff who require assistance with financial FACTS transactions.

The position is also in regular communication with the Department of Finance and Administration, CYFD Information Technology Division , and CYFD FACTS support unit for resolution of FACTS transactions.

The position is responsible for researching and assuring accurate and prompt disbursement of FACTS payments to all FACTS providers.

How does it get done?

Provides support to the users of Family Automated Client Tracking System (FACTS) assisting providers, field staff, and internal unit staff on care and support incidental payments. Assures proper coding and posting of care and support incidental payments to resource parents and other FACTS providers. Audit payment requests to source documents and FACTS system, processing payment and tacking and validating each payment request upon completion.

Provides support to the users of Family Automated Client Tracking System (FACTS) assisting providers, field staff, and internal unit staff on care and support incidental payments. Audit payment requests to source documents and FACTS system, processing payment and tacking and validating each payment request upon completion.

The FACTS Incidental Payment Specialist provides customer support to FACTS Financial users in relation to resource provider incidental payments. Processing payment requests by thoroughly auditing against source documentation and FACTS system. Properly entering and coding in accordance to payment policy and federal and state regulations.

Validate with providers that payments are made to date monthly to assure timely disbursement and adhere to annual budget. Manually track each payment request to assure completion and electronically file supporting documentation. Provide internal and external auditors with supporting documents as requested during annual audits or upon management request.

Ideal Candidate

Skilled in the following areas:

Billing and payment tracking and entry

Excellent customer service skills ;

Multi-tasking in a busy workplace;

Have good communication skills;

Using Microsoft Word, Excel, Outlook, Adobe;

The ability to problem solve quickly.

Minimum Qualification

High School diploma or Equivalency and two (2) years experience in bookkeeping, accounting, and/or finance. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.

Employment Requirements

Must possess a current and valid Driver's License. Pre-employment background investigation is required and conditional pending results.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.
