This position is for an Administrative Assistant I, II or III. The Texas Department of Transportation reserves the sole right in determining the level of position based on the applicant's work experience, education, skill level, and all other appropriate factors, and based on business needs.

Position Description

Administrative Assistant I:

Performs administrative office support-related work for department staff and the general public. Work requires contact with middle and high-level managers. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Administrative Assistant II:

Performs administrative office support-related work for department staff, the general public, and one or more projects including specialized programs. Work requires contact with middle to high-level managers and private entities. Employees at the level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

Administrative Assistant III:

Performs administrative office support-related work for department staff, the general public, and one or more projects including specialized programs. Work requires contact with middle to high-level managers, executives, governmental officials and private entities. Employees at the level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

Essential Duties For an Administrative Assistant I, II and III:

  • Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant.
  • Conducts annual physical inventory; verifies inventory findings, reconciles and enters adjustments in computer system as needed.
  • Runs queries and reports in a variety of applications/systems.
  • Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and travel arrangements.
  • Processes receipts and invoices for payment.
  • Delivers and picks up confidential or time sensitive mail/correspondence.
  • Creates requisitions, blanket purchase orders, and enters receipts in PeopleSoft in support of the division or district.
  • Performs other job responsibilities as assigned.

Additional Duties For an Administrative Assistant II and III:

  • Coordinates travel services to include making travel arrangements, securing transportation and lodging services, and submitting reimbursement on the traveler’s behalf.

Additional Duties For an Administrative Assistant III:

  • Coordinates and/or composes correspondence and reports regarding technical program initiatives.
  • Receives requests for information, conducts background research, compiles pertinent data, and disseminates information

Minimum Qualifications:

Education for Administrative Assistant I, II and III:

  • High School Grad or Equivalent in general education

Experience:

Administrative Assistant I:

  • None

Administrative Assistant II:

  • 1 YEAR administrative or clerical support, customer service, business operations, communications, informational, or related experience
  • Experience can be satisfied by full-time or prorated part-time equivalent
  • College education and/or relevant technical training may be substituted for experience on a year per year basis

Administrative Assistant III:

  • 3 YEARS administrative or clerical support, customer service, business operations, communications, informational, or related experience
  • Experience can be satisfied by full-time or prorated part-time equivalent
  • College education and/or relevant technical training may be substituted for experience on a year per year basis

Licenses and Certifications:

  • Valid driver’s license. This position requires driving a state vehicle.

Competencies:

Competencies for an Administrative Assistant I, II and III:

  • Automated record-keeping methods
  • Inventory/stock control procedures
  • Maintaining effective working relationships with others
  • Administrative support practices and procedures to include writing, editing and report writing techniques, recording meeting notes, record keeping and records management
  • Preparing correspondence/documents using correct spelling, grammar and punctuation; proofreading and reviewing documents for clarity and consistency
  • Using computers and applicable programs, applications, and systems
  • Maintaining a safe working relationship
  • Follow verbal and written instructions
  • Protects sensitive and confidential information

Additional Competencies for an Administrative Assistant II and III:

  • Coordinating and scheduling activities/resources
  • Applicable governmental laws, rules and regulations specific to area of responsibility for safeguarding information and information technology related systems

Physical Requirements and Working Conditions:

  • Sedentary work: Lift up to 10 lbs. at a time and occasionally carry files/small tools.
  • Light work: Lift up to 20 lbs. at a time and frequently lift or carry objects up to 10 lbs.
  • Sitting - prolonged periods of time.
  • Standing-prolonged periods of time.
  • Repetitive Motion-substantial movements of the wrists, hands, and fingers.
  • Close Visual Acuity - work includes data/figures; view a computer screen; extensive reading.

Conditions of Employment:

  • Required to work weekends and holidays.
  • Required to work hours other than 8 to 5
  • Required to work under exposure to inclement weather conditions.
  • Required to wear personal protective equipment provided by employer and comply with all safety requirements.
  • Must attend work regularly and observe approved work hours.
