GENERAL SUMMARY: The Purchasing Coordinator is responsible for coordinating campus travel, managing inventory, surplus, campus auctions, monitoring P-card transactions and assisting with other purchasing related responsibilities as outlined below.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Coordinate and books travel arrangements for employees and students traveling on university business including lodging, airfare and transportation.
- Calculates, prepares, and ensures all campus travel reimbursements are processed per state travel policy.
- Coordinates the campus wide movable equipment inventories.
- Coordinates all aspects of the campus wide auctions.
- Oversees campus swap shop.
- Assists with reporting of various financial accounts.
- Manages purchase card use for self and auditing for other cardholders as assigned.
- Assist in processing credit card applications, charges, changes corrections, and file maintenance.
- Handles routine administrative duties, including answering the telephone, giving out information, or routing calls to the appropriate person.
- Conducts campus wide training sessions on processes.
- Assists Vice President for Fiscal Services as needed.
- Manages website content for Purchasing department.
- Serves as a backup for Purchasing Specialist as needed.
- Other duties as assigned.

Minimum Qualifications:
- Associate’s Degree in relative discipline from an accredited college or university required.
- Other combinations of education and experience may be considered if relevant.
- Evidences a history of demonstrating ethical and professional behavior.
- Two to three years of experience in office environment, business, accounting, inventory control, or combination thereof.
- Financial accounting or inventory control background with the ability to work proficiently with details and numbers.
- Must possess excellent organizational and analytical skills.
- Must have critical thinking, mathematical, and interpreting skills and be able to perform complex data recording operations.
- A positive “can-do” attitude along with a professional appearance and demeanor should be modeled at all times.
- Must have a willingness to continually self-initiate learning to remain proficient. Should be able to quickly grasp and apply new skills and methods.
- Must be customer service motivated with ability to work and respond effectively to varied audiences of internal and external clients.
- Must possess a demonstrated ability to multi-task and work in a deadline-driven environment.
- Must be flexible, innovative, and self-motivated.
- Strong verbal communication skills to include individual interaction and group directives.
- Must be proficient in information technology mediums to include word processing, database, spreadsheets, and specialized software packages.
- Excellent written communication and listening skills and customer responsiveness are essential.
- Must possess excellent interpersonal skills, with the ability to effectively recognize and resolve conflict.
- Valid Oklahoma driver’s license is required if performing the functions of the position requires the use of a personal or university vehicle.
- Ability to work some evenings and weekends.
- Travel may be required.
- Normal office physical environment; ability to lift up to 25 pounds.
