The Department of Surgery is seeking a highly organized, detail-oriented, and collaborative individual to join our team as a Privileging Coordinator. This role is critical in managing the privileging process for incoming surgeons, locums, surgical assistants, and physician/resident extenders within the Calgary Zone. The Coordinator serves as the main contact for physician appointments and reappointments, ensuring no clinical activity occurs without appropriate privileges in place. This position also includes light finance responsibilities such as processing on-call stipends, preparing physician payment summaries, and supporting accruals for trauma, extender payments, and specialist call schedules. The ideal candidate will demonstrate strong attention to detail, organizational skills, and the ability to manage both privileging and financial workflows effectively. Key Responsibilities: Coordinate Medical Staff Appointment and privileging processes for new hires, locums, residents, fellows, and surgical assistants. Manage annual reappointments and AIVA processes, including submitting required change requests. Prepare and submit appointment packages and NAMS applications, ensuring complete and accurate documentation. Maintain regular communication with the Medical Affairs Office and notify Section Chiefs once privileges are approved. Track expiry dates for CPSA permits, CMPA coverage, and privileges, ensuring timely renewals. Support privilege requests across multiple surgical divisions and maintain accurate records on shared drives. Process on-call stipends (ROCA), prepare payment summaries, and assist with quarterly payments for Trauma, Urology second call, ROP, and extender payments. Liaise with finance teams and Contracts & Agreements Coordinators for accurate payment processing.
As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Required Qualifications:
Some post-secondary education.
Additional Required Qualifications:
Minimum of 5 years of experience in healthcare administration, credentialing, medical staff coordination, or similar roles. Previous experience with financial processes such as invoice preparation, payment requisitions, and stipend processing is preferred. Excellent skills in Microsoft Office Suite (Word, Excel, Outlook) and shared drive systems. Exceptional organizational, time management, and attention-to-detail skills. Strong verbal and written communication skills with the ability to interact effectively with physicians, leadership, and support staff. Ability to work independently with minimal supervision while managing competing priorities. Demonstrated problem-solving skills and a proactive approach to identifying and resolving issue. Basic understanding of accruals and physician payment structures within healthcare environments. Previous experience coordinating medical staff privileging or credentialing in a healthcare or academic setting.
Preferred Qualifications:
Degree in Business Administration, Health Administration, or a related field preferred. Knowledge of AHS Medical Staff Bylaws, Medical Affairs processes, and related provincial regulations. Experience with PeopleSoft, ROCA system, and UofC eProcurement and eFin tools. Familiarity with Alberta Health Services (AHS), College of Physicians and Surgeons of Alberta (CPSA), and Canadian Medical Protective Association (CMPA) requirements is an asset.
