Job Summary

The IU Student Health Center is a vital resource for student well-being, offering comprehensive medical care, mental health services, and wellness programs. A welcoming, responsive front desk experience is essential to delivering these services. The Front Desk Coordinator plays a key role in supporting the Health Center's mission by ensuring that students and visitors feel informed, respected, and supported from the moment they arrive.

Department-Specific Responsibilities

  • First point of contact for patients and visitors at the Student Health Center, combining high-level customer service with a strong understanding of health insurance and medical billing.
  • Greets and assists patients and visitors; manages check-in, registration, and check-out processes.
  • Verifies insurance eligibility and benefits; clearly explains coverage and out-of-pocket expectations.
  • Accurately enters and updates patient demographics, insurance, and billing data in electronic systems.
  • Posts payments, checks balances, and reconciles daily transactions; maintains and balances a secure cash drawer.
  • Investigates and resolves billing inquiries, escalating issues when necessary.
  • Applies knowledge of procedural and diagnostic coding to support accurate billing and insurance claims.
  • Schedules appointments and communicates service options, timing, and relevant policies.
  • Responds to patient questions and concerns with professionalism; liaises with families and staff to support clear communication.
  • Ensures compliance with HIPAA and privacy practices; maintains strict confidentiality.
  • Provides directions and general assistance within the facility.
  • Maintains a clean, organized front desk and monitors supply levels for daily operations.

General Responsibilities

  • Provides patient check-in and check-out, reviewing records to ensure patient insurance and demographics information is accurate and complete.
  • Receive payments, confirm insurance eligibility, enter billing data, and resolve patient accounts.
  • Coordinates scheduling of any patient appointments to allow for effective treatment and patient care.
  • Assists with all inquiries in the clinic office including walk-in patients, scheduling clinic appointments, and follow-ups.
  • Serves as a resource for clinical protocols and payment/billing information for patients.
  • Assists in emergency or problem situations.
  • Serves as back-up for clinical office staff as needed.
  • Maintains office supplies, and other administrative duties as needed.
  • Assists in maintenance and organization of patient medical records.
  • May reconcile and analyze reports for rebilling and finalizing daily logs.

Qualifications

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED)

WORK EXPERIENCE

Required

  • 6 months of related experience

SKILLS

Working Conditions / Demands

This role requires the ability to remain seated or standing for extended periods while interacting with patients and completing administrative tasks. The position involves regular use of a computer, handling sensitive documents, and navigating patient service areas. It also requires the ability to manage multiple interruptions while maintaining accuracy and professionalism in a fast-paced environment. The person in this role must be able to perform the essential functions with or without an accommodation.
