Agency Overview
Assists in program direction by overseeing Willow Works/PH&E & relieving supervisor of non-routine administrative duties (i.e., acts for administrator; conducts staff meetings regarding program implementation, work policies & procedures, implements program policy (i.e., Habilitation Services Program & Regional Resource Program [i.e., coordinates & schedules use of PH & E facility [e.g., pool, gym] by individuals, staff & community groups); transmits decisions, directives, rules, policies, directives & other pertinent information to all levels of staff; serves as member of Incident Review Committee (e.g., reviews unusual incidents, makes recommendations for further investigations & preventative measures & analyzes data for trends). Investigates work related injuries & illnesses, implements corrective action procedures [e.g., investigates, presents findings, recommends/delivers reprimands]; Monitor/track all employee training & follow up with new employees; Handles confidential information & documents & is privy to highly sensitive information, materials & conversations (e.g., disciplines, investigations, complaints, DD business & directives); assists in development of policies & procedures; participates in Step 1 grievances: & plans activity treatment programs [e.g., ensures delivery of active treatment to meet ICF/DD, Licensure & Administrative Rules, assures assessments are completed in response to referrals, ensures that programs & services are delivered in accordance with individuals’ OISP by direct observation & participation], ensures completion of individuals participation & progress, [e.g., progress summaries, OISP input, production records]; maintains files & follows retention schedules; assists in placing information in training books; maintains filing system; orders & maintains supplies; sorts & distributes mail; copies routine &/or highly confidential material; maintains tracking system & ensures deadlines are met; composes memos, letters & reports at the request of administrators (e.g., Program Director, Superintendent’s office, or Deputy Director’s Office); serves as back up in the absence of other PA1’s (e.g., Superintendent’s Office); maintains Program Office business calendar; attends training/in-services as needed; completes other related duties as assigned. Attends & participates in meetings, conferences &/or training sessions; conducts staff development training [mandatory & elective] in area of responsibility; attends meetings & work groups as assigned]; attends required training, [ e.g., First Aid, Fire Safety, CPR]: performs various miscellaneous tasks (e.g., ensures cleanliness & maintenance of program area.

Supervises activity therapy staff(e.g., makes recommendations to hire, evaluates employee job performance, processes requests for leave [e.g., reviews for completion/errors, recommends approval/disapproval]: monitors employee attendance, investigates work related injuries & illnesses, implements corrective action procedures [e.g., investigates, presents findings, recommends/delivers reprimands]; Monitor/track all employee training & follow up with new employees; Handles confidential information & documents & is privy to highly sensitive information, materials & conversations (e.g., disciplines, investigations, complaints, DD business & directives); assists in development of policies & procedures; participates in Step 1 grievances [e.g., hears grievances, investigates, prepares & delivers goals & objectives]: & plans activity treatment programs [e.g., ensures delivery of active treatment to meet ICF/DD, Licensure & Administrative Rules, assures assessments are completed in response to referrals, ensures that programs & services are delivered in accordance with individuals’ OISP by direct observation & participation], ensures completion of individuals participation & progress, [e.g., progress summaries, OISP input, production records]; coordinates budge planning for Willow Works area & coordinates activity program with other departments or agencies to provide developmental center & community-wide events & services (e.g. holiday events, picnics, Special Olymics, developmental games, transportation/scheduling of vehicles for events).
Prepares, maintains & oversees preparation & maintenance of work related documentation (e.g.. prepares supply & equipment requisitions & work order requests; prepares inventory of supplies & equipment; writes reports; maintains files; sends notices & produces announcements/bulletins for special events participation; maintains records/documentation for compliance with agency standards [e.g., Department of Health]; maintains files & follows retention schedules; assists in placing information in training books; maintains filing system; orders & maintains supplies; sorts & distributes mail; copies routine &/or highly confidential material; maintains tracking system & ensures deadlines are met; composes memos, letters & reports at the request of administrators (e.g., Program Director, Superintendent’s office, or Deputy Director’s Office); serves as back up in the absence of other PA1’s (e.g., Superintendent’s Office); maintains Program Office business calendar; attends training/in-services as needed; completes other related duties as assigned.
