Executive Assistant to Company Management - Greater China & Mongolia

The overall objectives of this role is to follow up items, documentation, schedules and travel related logistics as well as coordination between the Members of the Key Management Team.

Key Responsibilities

  • Manage and coordinate administrative task for all Key Management Team members. 
  • Organize flights and schedules including the preparation of supporting Travel Authorizations and communication of travel details to all people involved. 
  • Prepare meeting minutes and track follow through within Key Office. 
  • Collect input for monthly management board report and key management meeting. 
  • Prepare dossiers ahead of meetings and property visits with supporting documents. 
  • Follow up on expense claims and wrapping of business trips after return. 
  • Write and draft announcements for new positions, key updates and regional memos distributed from the Vice President Operations, Greater China & Mongolia / General Manager Key. 
  • Coordinate regular conference regional calls and assist in drafting relevant agendas.
  • Keep and update of the Owner database as well as key contact information of all General Managers, key people in the hotels and partners. 
  • Compile presentations for meetings and collect necessary information. 
  • Maintain close communication with all the Regional departments and well as corporate counterparts at the CEO, CFO office in Geneva as well as Beijing Tourism Group and affiliates. 
  • Run the master calendar for the office and Key Management Team.
  • Perform additional tasks and duties as per business needs. 

Job Requirements

Seeking for an overseas educated Chinese with international understanding and appearance. A person ensuring total integrity and confidentiality considering the level of information dealt with. 

  • Hotel Management Degree or Certification, Bachelor’s Certification or Master
  • Experience in assisting Executive Teams
  • Ability to work and communicate in a multinational environment
  • Mandarin & English – excellent oral and written skills
  • Ability to work independently 
  • Excellent Interpersonal and intercultural skills 
  • Must possess attention to detail, confidentiality, integrity, be reliable 
  • Has the ability to maintain a high level of professionalism in a fast-paced dynamic environment
  • Excellent Microsoft Office (Word, Excel, Power Point) knowledge
  • Basis analytical skills
