For this position, we are looking for an ambitious and self-driven individual to join us as the Office Manager for our San Francisco office, just a few short minutes from the Ferry Building. Office Managers at Keystone help to organize monthly Keystone Nights Out (KNOs), establish and maintain the "look and feel" of our workspace for employees and visitors, and will support the local executive team with light calendaring and additional executive support. Office Managers at Keystone are crucial for establishing and maintaining the local office culture and help make Keystone go! Our offices are strategically located across the country and often play host to executives and consultants from another office, so it is critical that our office space is one seamless experience across our 5 cities. To that end, you will be part of an amazing operations team that helps to power Keystone's incredible growth. You will work directly with the leadership of the firm to creatively solve problems and foster our company’s culture. In this role, you will develop a deep understanding of the working styles of the executives you support and their priorities to become a proactive thought partner in managing your executive’s time in a fast-paced, high volume, and ever-changing client service environment.

  • Adaptability: flexibility and initiative to adapt to the dynamic nature of a scale up environment and the ability to thrive in a fast-paced, and at times ambiguous setting

Some of your responsibilities will include:

  • Ensuring that the executives you support have what they need to seamlessly serve the expectations of our clients and internal commitments/goals through anticipating the needs of your executives and stakeholders, looking ahead and preventing problems from arising, and keeping up with the fast pace of our consulting team
  • Flawlessly managing executive calendars by taking ownership of high-volume complex meeting/event scheduling, calendar conflict resolution, advising stakeholders on next steps/responses, and exercising discretion and judgement on escalation and/or delegation
  • Impressing external stakeholders with professionalism and efficiency when representing Keystone and the executives you support through your email, phone or in-person interactions
  • Coordinating end-to-end travel needs in a thoughtful and practical manner, including booking (and rebooking, unbooking) all travel, hotels, venues/restaurants, and ensuring trips are consistently smooth and seamless throughout while being mindful of directions, commuting time and ground transportation
  • Supporting administrative aspects of leadership’s internal commitments: practice area activities, leadership committees, recruiting, processing timesheets and expenses on a timely basis, etc.
  • Proactively leaning in to support high-leverage activities for leadership (this will vary by need):
  • Assisting with account planning and client relationship management
  • Conducting research and gathering information
  • Assisting with the creation and preparation of client team materials – slides, proposals, onboarding decks, including proofreading and copying/binding
  • Additional items that you (or the leadership) feel may be helpful – be creative and think outside the box
  • Keeping leadership informed of critical information they may not be aware of
  • Guiding stakeholders toward making right decisions about use of time
  • Taking initiative to bring things "from the back burner to the front burner" for leadership

US Salary Range: $100,000- $110,000, plus an annual discretionary bonus, 401k contribution, and competitive benefits package. Actual compensation within the range will depend upon the level the individual is hired into based on their skills, experience, qualifications.
