The Academic Department Administrator serves as the first point-of-contact in the Physics Department’s main office and handles inquiries from students, parents, faculty, University staff, sponsors/vendors and the general public. May make appropriate referrals using independent judgment; receives, sorts and distributes mail.

Duties & Responsibilities:

  • Organizes all departmental events, meetings, conferences, colloquia, social events, including associated travel. Maintains record of events and event planning, including the procurement of goods/services for the event, and the associated financial paperwork. Coordinates with GW Licensing when purchasing paraphernalia.
  • Serves as trouble-shooter in solving routine administrative, procedural or operational problems, as backup timekeeper for the Operations Supervisor or Manager.
  • Collects and processes payment requests for non-employed students, visiting scholars, and department members without purchasing cards.
  • Schedules day-to-day room usage of departmental spaces.
  • Collaborates with the Director of Undergraduate Studies, Director of Graduate Studies, and Deputy Chair regarding course scheduling needs for the department.
  • Manages the office inventory, instructional materials, and equipment. Coordinates and procures supply orders as needed.
  • Contacts other University departments to request housekeeping and maintenance/facility services, including in a power-user capacity. Records and monitors progress of work and follows up on requests as needed.
  • Places orders for textbooks and instructional materials with the GW Bookstore on a semester basis; maintains historical record of materials used in introductory courses.
  • Serves as liaison with GW technology services for any non-classroom department technology needs.
  • Maintains historical files and similar documentation applicable to the programs and projects of the Department, such as syllabi from courses, etc.
  • Acts on behalf of supervisors in non-policy matters as directed. Composes routine correspondences on behalf of supervisors. Monitors and responds to departmental email accounts, listservs, and processes, and addresses everyday administrative requests.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications: 

Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Prior experience working for a higher education institution, especially GW is preferred.
  • Ability to take direction and then work independently.

Hiring Range $21.27 - $27.63
