Overview

AARP’s Legal Counsel for the Elderly champions the dignity and rights of vulnerable Washington, D.C. seniors 60-plus, providing free legal and social work services to those in need — empowering, defending, protecting, and helping thousands of clients each year in many areas of civil law.

The Administrative Assistant provides general administrative support to a team and/or a functional area, including answering calls, greeting visitors, assisting in preparing/submitting expense reports, managing business unit document files, maintaining office equipment and ordering supplies. Schedules meetings for business unit, reserves conference rooms, orders catering, assembles/distributes meeting materials.

Responsibilities

  • Ensures the workspace is clean, welcoming, and accommodating to a productive and efficient workplace.
  • Answers and routes phone calls, responds to and routes office emails, and greets and directs visitors.
  • Provides limited administrative support to team, including mailing documents, uploading or maintaining files, and managing correspondence as necessary.
  • Orders materials and supplies and coordinates supply levels.
  • Liaises with building management to ensure adequate maintenance of space. Manages and coordinates meeting room use.
  • Receives and checks mail, organizing, sorting, and routing to the appropriate place.

Qualifications

  • HS diploma or GED.
  • 2 years of general administrative experience related to the nature of work, which includes: proficiency with Microsoft Office software, data entry, receptionist work, record-keeping functions, and maintaining confidential information.
  • Should possess basic business writing skills for professional communication by email.
  • Ability to communicate respectfully with clients in crisis and those who are dissatisfied to de-escalate conflict.
  • Ability to remain calm under pressure and cope with occasional emergencies (e.g., client experiences a medical emergency in the office).
  • Sensitivity to and experience working with older adults, people with disabilities, and/or people with low incomes preferred..

Hybrid Work Environment

AARP observes Mondays and Fridays as remote workdays, except for essential functions. Remote work can only be done within the United States and its territories.
