Job Description

We work in advertising, helping some of Canada’s largest companies like TD Bank, Starbucks, Sephora, Disney and Intuit get their message in front of consumers. The way we explain what we do to our Mom’s is that we don’t draw the pictures or make the videos you see, we buy the page in the paper or space on the internet where you see it. About 85% of all dollars invested in advertising is spent on the media placement, so in Canada we invest over $1bn on behalf of our clients. We are the media arm of Publicis Groupe, the world’s largest advertising holding company. Our media agencies are Starcom, Spark Foundry and Zenith.

About you:

Are you the kind of remarkable Executive Assistant that navigates challenges with finesse but infuses a genuine human element into every aspect of the role? Are you proactive, solving problems before they surface, and a quiet advisor that elevates decision-making above mere meeting coordination? Are you young at heart, but wise too?

Helping our CEO with the ‘game of marginal gains’ as the business continues to scale will be critical. This isn’t just about booking meetings and travel; this is about helping the organization navigate how to maximize everyone’s greatest asset – time.

Key Responsibilities:

  1. Executive Support: Serve as a trusted confidant and advisor to the CEO. Act as a sounding board for ideas, initiatives, and challenges, offering perspectives to aid in decision-making. Yes, you will be managing calendars and travel, but this role is so much more than that.
  2. Project Management: Oversee special projects, initiatives, or tasks assigned by the executive team. This could be everything from helping with renovations, offsites and gathering events for example. Coordinate efforts across departments and ensure timely execution of key projects.
  3. Relationship Management: Foster relationships with external stakeholders, industry experts, and key partners to gather insights and leverage networks beneficial to the organization.
  4. Policy Development: Assist in the development and implementation of organizational policies, ensuring alignment with strategic objectives and industry best practices.
  5. Communication and Presentations: Prepare reports, presentations, and briefings for executive meetings. Articulate complex ideas clearly and effectively to convey recommendations or proposals.

Qualifications

  • Experience: Extensive experience (7-10+ years) in Executive Assistant or advisor roles. Industry specific experience is not essential.
  • Organizational Skills: an exceptional attention to detail is a must.
  • Adaptability: Comfortable working in a fast-paced environment, handling multiple priorities simultaneously, and adapting to changing circumstances and emerging technologies.
  • Technical skills: Very high proficiency in MS suite tools including power point, teams and excel, as well as managing hybrid meetings, and a proactive approach to tools and tech that can improve efficiency.
  • Communication Skills: Excellent verbal and written communication skills. Ability to convey ideas succinctly and persuasively to senior leadership.
  • Strategic Thinker: Proven ability to think strategically, analyze complex situations, and provide valuable insights and solutions to drive business objectives.
  • Discretion and Confidentiality: Maintain a high level of confidentiality and professionalism in handling sensitive information and discussions.
