Portfolio Management Office is an internal Team within AXA XL Transformation, Change and Delivery (TCD) function, which foster the delivery of change in the organization. We provide various areas of support to the Business: we facilitate changes of processes, cooperate with Project Teams to deliver the required technology, and we report to our Leadership Team on projects’ status, expected deliverables, and their potential impact, emphasizing the execution rigour across our portfolio (about 250 projects currently).

As an intern, you will collaborate closely with our experienced Business Engagement Leads and Business Engagement Support Colleagues to facilitate communication between Business Stakeholders and Delivery Colleagues, ensuring the smooth and successful delivery of projects and programs, as well as rigorous reporting on their progress. While a degree of guidance and support will be provided, interns must demonstrate independent learning skills and knowledge progression. Work arrangement split between remote and onsite (60% remote, 40% onsite). Additionally, you may be required to adjust your hours occasionally to support collaboration across global time zones.

The team currently consists of 1 manager in Wroclaw, 1 senior PMO specialist, and will soon include 2 more interns who will directly report to the manager in Wroclaw.

What will your essential responsibilities include?

  • Assisting in the coordination of queries and requests for Projects and Initiatives within the scope of the Region/Function of the Business Engagement Lead.
  • Providing business-related guidance to cross-functional teams to facilitate the execution of strategic initiatives.
  • Supporting the synthesis of inflight projects and status reports into "business-speak" for stakeholder reporting.
  • Collaborating with the Business Engagement Lead Community to create and coordinate stakeholder updates, including key business topics, challenges, opportunities, emerging demand, and application solutions statistics.
  • Assisting in the coordination of demand management processes and templates for smaller initiatives.
  • Providing general support to the Business Engagement Lead for small change coordination.
  • Contributing to a culture of continuous improvement by establishing and enforcing standard information sharing practices, aligning with other PPM/PMO functions and associated governance processes, and facilitating the review of internal customer feedback, external best practices, trend analysis, and proposed process changes.

We’re looking for someone who has these abilities and skills:

Required Skills and Abilities:

  • University student in 2nd - 5th year with an academic focus in Business Administration, Project Management, Business, or Economics
  • Excellent communication, collaboration and presentation/visualisation skills, such as PPT.
  • Proficiency in MS Excel, knowledge of analytical or BI tools like PowerBI would be an asset.
  • Fluent in both written and spoken English.
  • Energetic, collaborative work style with ease in flexing to changing workloads and prioritization.
  • Ability to work independently and collaboratively in a team environment.
  • Proven detailed orientation, coordination, organization and facilitation skills, with a proclivity toward consistency and simplicity.
  • Demonstrable problem-solving skills, problem resolution ownership, analytical approach with strong attention to detail.
  • Availability min. 25 hours per week (more would be an advantage).

Desired Skills and Abilities:

  • Project Management Experience: Previous involvement in projects or initiatives, whether in academic settings, extracurricular activities, or internships, can demonstrate familiarity with project management principles, such as planning, execution, and monitoring (event organization, student union activities engagement, etc.).
  • Internships or coursework in Business Administration or Management: Experience or academic background in business-related fields can provide a foundational understanding of business processes, project management, organizational dynamics, and reporting.
  • Customer Service or Client-Facing Experience: Previous roles involving customer service, client interactions, or stakeholder management can provide insights into understanding customer needs, managing expectations, and building relationships, which are valuable skills in supporting business stakeholders.
