Events Senior Specialist

Job Summary

The Events Senior Specialist is responsible for overseeing attendee management, registration, mobile event app and survey results, working in partnership with the Global Events Team logistics, operations and content departments. Coordination of events will also include collaboration with executives and their representatives, field marketing and partner marketing. This role is primarily focused on Cvent administration and operations. 

Responsibilities 

Registration and Attendee Management 

  • Builds event registration sites in Cvent and establishes best practices to optimize attendee registration experience. 
  • Manages all aspects of event registration site builds in Cvent, including content, invitation list management, and other items related to event registration sites, collaborating with event logistics and content teams
  • Manages all aspects of mobile event app builds through Attendee Hub in Cvent, including content, images, collaborating with event logistics and content teams
  • Provides logistical support including managing hotel rooming lists, understanding contracted room block and tracking total room night pickup, and reporting and reconciling budget from final room night pickup. 

Event Logistics 

  • Provides pre- and post-event support as primary manager of event invitation lists and subsequent changes to the list, while managing the hotel rooming list. 
  • Collaborates closely with event logistic and content team members to develop event communication materials (i.e., websites, invitations, emails, mobile event app, surveys) 
  • Reviews event communication (i.e., websites, invitations, emails, mobile event apps) for information accuracy with logistical, operational and content team members

Reporting and Surveys 

  • Builds event surveys in Cvent and analyzes results, while establishing best practices for survey distribution and analysis, to optimize attendee engagement. 
  • Manages all aspects of event survey site builds in Cvent, including content, survey invitation list management and analyzing and reporting results, collaborating with event logistics and content teams
  • Contributes to post-event reports and debriefs. 
  • Responsible for survey site builds in Cvent and survey result data presentation development 

Problem Solving 

  • Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Networks with senior internal and external personnel in own area of expertise 

Interpersonal Skills 

  • Is a seasoned professional at communicating effectively and works collaboratively with colleagues and stakeholders to build strong internal and external relationships to meet stakeholder needs. 
  • Explains difficult or sensitive information; works to build consensus. 

Qualifications 

  • Bachelor’s degree preferred. 
  • 5 + years of related experience or equivalent work experience required. 
  • Expertise in Cvent meeting management tool, specifically registration, Attendee Hub and surveys 
  • Must be able to multi-task in a fast-paced environment. 
  • Deadline-oriented with attention to detail and process 
  • Possess strategic planning skills, including the ability to create unique and positive attendee experiences. 
  • Excellent interpersonal skills with high professionalism 
  • Outstanding oral and written communication skills 
  • Must be highly collaborative and transparent. 
  • Able to work independently and accomplish goals with little supervision. 
  • Proficient in Microsoft Office, including Word, Outlook, PowerPoint & Excel
