What will you do as a Resource Planner & Stock Controller?

The Resource Planner & Stock Controller will be required to ensure suitable resources (infrastructure, ullage and human) available for the safe and efficient execution of orders to maximize the terminal’s efficiencies and value to customers serviced by Vopak.

The Resource Planner & Stock Controller reports to the Customer Services Manager – Vopak South Africa, with governance reporting to the Finance & Risk Manager, Vopak South Africa.

What do we expect from you as a Resource Planner & Stock Controller?

  • Grade 12 or equivalent
  • Degree in Chemical/Mechanical Engineering or Bachelor of Technology in Operations Management or the equivalent
  • 3-5 years related experience
  • Working knowledge of standard office systems and software programs
  • Strong competency on reporting writing and analytical skills

What does your day look like?

Some of the operational elements of the Resource Planning & Stock Controller include:

  • Responsible for the correctness of the stock administration which is carried out by the teams. The Resource Planner & Stock Controller is responsible for identifying stock differences, supporting investigations and reporting on this, among other things, on the basis of stock KPIs.
  • Responsible for the governance and reports on (non)compliance to Durban & Lesedi stock control.
  • Responsible to minimize financial and non-financial risks of stock losses, excise duties, import duties and other taxes.

Your core responsibilities are:

Resource Planning:

  • Create a work plan for the operational execution activities at the terminal ensuring activities are executed safely and efficiently to meet customer requirements/expectations. Considering physical restrictions in our infrastructure and the ‘first come – first serve’, resulting in no or minimal delays in terms of use of common infrastructure.
  • Ensure ullage for customers is available for forecast orders/movements and engage CS accordingly to plan available ullage
  • Co-ordinate and track outages required for preventative maintenance / break down repair and ensure limited impact on the plan for service to customers
  • Evaluate the plan against the actual execution of the activities (with the use of KPI reporting) to provide feedback to the Customer Services Manager, Terminal Managers and Shift teams to improve performance and service levels.
  • Liaising with internal stakeholders, e.g. Operations, Technical, Customer Services, etc. as well as external stakeholders e.g. Berth Planning Forum, Vessel Agents, Transnet Pipelines, etc.
  • Support the organisation’s drive to maximize throughput and revenues

Stock Control:

  • Monitor for accuracy of daily stock records and inventory transactions
  • Identify, investigate and report stock admin deviations, and check compliance of differences are in line with contracts, procedures, and Vopak way standard
  • Taking care of the weekly and monthly KPI reports and trend analyzes with regard to the stocks for the benefit of the management
  • Support various departments e.g. Ops execution, customs and CS in the analysis of stock issues with regard to stock management
  • Ensuring knowledge transfer and training of Operators, CS Rep’s and Control Room Operators in various topics in the field of stocks 
  • Making (technical) improvement proposals to enhance stock admin accuracy/efficiency and driving them to completion
  • Timely reconciliation of tank stock admin in line with customer contractual agreements, local legislation, and Vopak way standard
  • Reporting the Vopak stocks overview, including co-mingled reconciliation reports and sign off.
