About the Role

Ogilvy New Zealand is searching for an Operations Coordinator to support the Operations Director in delivering effective resource management. You will be a key member of the operations team and act as the central triage to orchestrate the smooth running of work.

Key Responsibilities

  • Assist the Operations Director in managing the time of the Ogilvy NZ talent efficiently, balancing accessibility and minimising interruptions and ad-hoc requests.
  • Work alongside the Operations Director to manage the day-to-day flow of work through the Ogilvy Network with key stakeholders across all brands and disciplines.
  • Support the Operations Director with reporting efficient resource utilisation and productivity including but not exclusive to timesheet management.
  • Attending and leading day-to-day WIPs, while also attending daily briefings, creative reviews and internal ad-hoc meetings. Manage the efficient administration of freelancers from set up and onboarding to time approval within Ogilvy NZ.
  • Maintaining and tracking the freelancer database including issuing POs, ensuring invoices and timesheets are accurate and to budget.
  • Assist Heads of Departments on freelance capability talent identification, market movements, and sourcing portfolios.
  • Build a comprehensive database of top contractors and freelancers, with negotiated rate cards to ensure that we have access to top talent efficiently.
  • Provide cover for breaks & leave periods and support the Receptionist as required.
  • Manage end-of-month invoicing in liaison with Client Leads.
  • Manage the WPP group billing through admin to finance.
  • Upload artwork files and guard books of campaigns with final images of final assets.

Skills & Experience Required

  • Minimum 1-2 years experience in a similar capacity or equivalent experience
  • Strong interpersonal skills, with a proven ability to build relationships
  • Excellent problem-solving and time-management skills
  • Excellent written & verbal communication skills
  • Process-driven and solutions-focused
  • Detail-orientated and organised
  • Ability to multi-task and adapt to changing circumstances in a fast-paced environment
  • Previous financial administration experience an advantage
  • Can do, 'roll up sleeves' attitude essential
  • Team player and sense of humour essential
  • Proficient in Microsoft Suite including Word, Excel and Outlook
  • Love of design and creativity
