As a future Northern Europe Events Coordinator (12 Month Fixed Term Contract), you will report to Head of Marketing for Northern Europe, and you will be part of AXA IM Core Client Group.

Working within the Northern Europe Marketing and Sales teams, the role holder will be responsible for the planning of all events for the UK (Wholesale & Institutional) as well as events in the Netherlands, including participation in industry conferences and organisation of proprietary events. The role will take responsibility for all aspects of event planning, as well as developing the client experience before, during and after the event, ensuring timelines and budget are respected and measuring the effectiveness of each event. The position will require some level of travelling. 

Your role and responsibilities will include:

  • Work with the Northern Europe Marketing and Sales teams to develop and implement the event strategy for all client segments in the UK and in Netherlands, this will include participation in industry events as well as organisation of proprietary events.
  • Take responsibility for all planning aspects of events, including setting objectives, defining client experience before/during/post event, contributing to define agenda, sourcing/booking internal and external speakers, arranging stand/collateral for the event and managing key stakeholders. This will involve working closely with the relevant people in marketing and the business to agree on agenda / key messages / content requirements and to promote the event through the right channels – emails, web, social media, PR. 
  • Take responsibility for all logistics of event organisation, including sourcing venues, selecting external providers as relevant, arranging room set up/branding, food and beverage requirements, managing onsite organisation, coordinating presentations if required and negotiating costs and contracts as per budget agreed with Head of Marketing for Northern Europe
  • Be responsible for maintaining the event calendar for Northern Europe this will also involve developing and maintaining event project plans and timelines whenever relevant. Actively manage the ROI spreadsheet and all other excels required for data collection across Northern Europe.
  • Manage and oversee the budget allocated to events, ensuring costs are reconciled accurately with compliance and company policy. This will include completing a full budget spreadsheet for larger events and gaining sign off on costs from relevant stakeholders.
  • Collaborate with other team members to set objectives, KPIs and benchmarks prior to events and then to measure and report on the efficiency and effectiveness of all events being undertaken. 
  • Follow key processes and procedures that have been set in place in regards to Sustainability Standards & Events Standards, making sure that the client journey and experience is always at the forefront of your approach and all AXA IM’s sustainability standards are adhered to.

Your qualifications and experience:

  • Relevant degree preferred
  • Strong experience in events management in the financial services sector, preferably with experience of the asset management sector
  • Proven track record of managing events of different types in the UK and internationally – industry events, exhibition management, proprietary events
  • Strong event management knowledge including use of digital event management tools
  • Strong project management skills, including an ability to move projects forward in a complex environment. Ability to operate in a fast-paced environment and juggle multiple projects at once.
  • Excellent organisational and prioritisation skills
  • Excellent verbal and written communication skills (English) – language skills beneficial but not required
  • Strong understanding of brand and ability to translate values and identity into high quality, content and client experiences
  • Proven ability to work effectively with internal and external stakeholders
  • Ability to work independently but also to work effectively in a team – someone who is collaborative, flexible and adaptable
  • Ability to find solutions to problems, with a strong ‘can do attitude’
  • Excellent interpersonal skills, able to build easy relationships with different teams and people (key stakeholders, corporate communications, global marketing, local marketing, investment teams, product specialists and other business partners) 
  • Able to remain calm in stressful situations
