The Opportunity:

This role supports our support professional population on Human Capital and Operations related activities. These include employee engagement, employee relations, performance management support, policy and procedure development and implementation, as well as operational leadership for the Market. You will have oversight and management for a team that deliver proactive and business focused HR advice and services for the Oliver Wyman Warsaw office, which has a headcount of c.300 employees performing a wide range of business support functions.

The Senior HC & Operations Manager is a client facing position and you will pro-actively engage your stakeholders in all HC and Operations related matters. You will be able to manage complex and challenging issues which require (at time) strategic and quick decisions. The position will manage several direct reports, currently 3.

In addition, this role is working closely with local Office Leader and Regional Chief Operating Officer to lead and continuously develop the office and as well as the office strategy and operations.

Key Responsibilities:

Employee Relations:

  • Create a fair and inclusive environment based on trust and mutual respect.
  • Ensure uniform and equitable application of policies and procedures.
  • Serve as a trusted advisor on employee relations matters to managers and business leaders.
  • Anticipate challenges when possible, solving before they escalate.
  • Perform and support employee investigations when required. Ensure enforcement of disciplinary procedures.
  • Provide advice and counsel to stakeholders regarding employment law, policy and/or employee issues.
  • Build credibility through encouraging open dialogue and maintaining confidentiality.
  • Partner with the Talent Management team to coach and advise Managers on actions to take when an employee’s performance standards are below expectations.
  • Ensure employee termination and exit matters are handled in a professional and empathetic manner.
  • Lead and implement any legislative changes to the market.

Human Resources Services:

  • Manage local OW payroll and benefits staff, overseeing administration of operational tasks, which includes, but is not limited to, payroll, personnel file maintenance, Employee Transactions & Workday entry, auditing, compliance and providing data for financial controllers.
  • Help resolve any payroll and benefits related issues as well as managing outside vendors.
  • Collaborate with Global Mobility Team in preparation and discussions of work permits, visas, transfers and assignments to/from the region.
  • Manage the local office inductions for new hire employees, ensuring materials are updated.
  • Manage the HC off-boarding of exiting employees, ensuring completion of all in person exit interviews and ensuring coordination with the Alumni team.
  • Support with overseeing the vendor and contractor process, being a point of escalation as needed.
  • Help manage risk and compliance matters both for local employment and MMC/OW requirements.
  • Keep up to date with current and new legislation across the region working with the Legal Team as needed to ensure compliance to local labor requirements. Update policy and procedures in line with new and revised local legislation and directives, including being a trusted advisor to the local business for all employment related matters.
  • Create and issue employee communications as required.

Team Management:

  • Coaching and providing on the ground support for the team.
  • Holding 1:1s on a weekly basis with the Warsaw HC Ops team.
  • Holding a weekly team meeting to check in on the team/team capacity.
  • Provide senior oversight of all Warsaw HC colleagues to help build a culture of teaming and camaraderie in Warsaw.

Office Operations:

  • Cooperate closely with Officer Leader and Regional Chief Operating Officer in any office related matters e.g. risk management, market strategy, capacity planning etc
  • Collaborate with key stakeholders to develop and implement local strategies that support business and departmental goals.
  • Establish common approaches and best practices across all local teams to drive consistency and efficiency.
  • Identify opportunities for service improvements and drive initiatives to enhance customer satisfaction.
  • Lead cross-functional projects and initiatives to drive operational excellence.

Additional Responsibilities:

  • Oversee implementation of global and regional HR projects and initiatives for the Warsaw office.
  • Ensure effective and close cooperation with MMC HR as well as the MMC Shared Service Center,Collaborate with MMC/OW requirements to promote compliance.
  • Support internal and external audits.
  • Drive HC and Operational strategic initiatives.

Experience required:

  • You will be an experienced HR and Operations Manager with strong leadership skills to motivate teams, make decisions, and also guide the organization towards operational goals.
  • Proven track record of HR within a commercially focused environment – this role will suit someone who has worked within a large multinational organsiation.
  • An agile thinker who has a solution focused attitude to shifting priorities.
  • People management experience.
  • Strong problem-solving abilities to analyze complex situations, identify issues, and develop effective solutions.
  • Effective verbal and written communication to convey information, collaborate with teams, and also interact effectively with all levels in the firm.
  • Driven to provide a high level of service in a fast-paced environment.
  • Can work effectively autonomously and in a team environment.
  • The ability to be productive, flexible and to simultaneously manage multiple project priorities in a complex, performance-driven environment.
  • Proven coaching and conflict management skills.
  • Organised and excellent attention to detail.

Technical Skills:

  • Fluent English and local language skills, both written and verbal, are mandatory for this role
  • Strong proficiency in Microsoft Office, particularly in Word, Excel and PowerPoint is required.
