MEET US Senior Payment Analyst

Position Description

The Meetings, External Engagements, & Travel (MEET) Senior Payment Analyst position is responsible for processing and ensuring the compliance of all MEET payments for the US market. The Senior Payment Analyst will review transaction details for compliance and follow up with different stakeholders as needed. The Senior Payment Analyst will also serve as the main point of contact for all key activities, such as extra coordination, budget management, automatic/manual payments, and logistics payment related process.

This Senior Payment Analyst will demonstrate accountability and integrity in the face of challenge and respond to change with agility, optimism, and innovation. They will collaborate cross-functionally across the organization as needed.

This role will be based in San Jose, Costa Rica and work with the regional operations team, regional sourcing team, and other MEET Centers of Excellences as appropriate. This role will report directly to the MEET Payment Manager.

ROLE RESPONSIBILITIES

  • Create payments for external funding and HCP/Patient engagements, monitor progress, and register payments in Navigator+/Engagement+ as needed within expected times.
  • Create and maintain vendors in MDGS and Ariba, and the respective follow ups as needed.
  • Create and amend budgets in EPA3 and/or POD.
  • Follow up with markets on event confirmation, invoice upload, incorrect/due invoice, among others to complete payments within expected times.
  • Review assigned MEET payments ensuring they are compliant and properly documented according to MAPP policy and systems, Country Annex, Country Profile, and MEET Standards
  • Closely monitor Automatic Payment interphase to ensure all payments are delivered timely to our customers.
  • Work with Legal and Local Compliance to get approvals for exceptions when needed
  • Support market and MEET colleagues with inquiries regarding budgets and payments (vendor, invoice, payment, payment blocks or rejections, budget nuances, among others).
  • Ensure audit support documentation is gathered appropriately
  • Confirm that consultants and entities received proper payment
  • Plan and lead special assignments
  • Support roll-out activities, such as translations, documentation, testing, and training plans (design, execution, and maintenance)
  • Demonstrate strong communication skills and relationship skills working with the commercial business
  • Employ innovative approach to assisting in improving processes and ability to train and deploy changes
  • Work with regional MEET Leaders to ensure consistency and standardization across sites

BASIC QUALIFICATIONS

  • Bachelor’s degree in Business, Finance, or a related discipline
  • 3+ years (or 1+ years with MBA / MS) of experience in compliance, and customer focused operations with significant volumes and risk (incl. audit and/or finance experience)
  • Fluency in English is a must
  • SAP/Ariba experience is a must
  • Proficiency in PC skills (MS Excel, Word, PowerPoint) required
  • Strong stakeholder management skills
  • Good organizational skills to coordinate and manage multiple priorities
  • Strong technical skills in managing transactions within a global system
  • Strong customer service skills and mindset
  • Ability to work independently
  • Strong experience in controls environment
  • Understanding of accounting terms and financial cycle
  • Understanding of compliance/financial controls
  • Ability to work under pressure and to handle several projects at once
  • High level of self-motivation, energy and flexibility
  • Strong interpersonal and organizational skills
  • Strong written and verbal communication skills enabling effective communication with all levels of management
  • Highly focused on customer service

PREFERRED QUALIFICATIONS

  • Strong compliance experience and financial or audit controls background
  • Leadership experience to train or develop others and bring innovative ideas to the team
  • Comfort with ambiguity, anticipates changes, and influences direction of innovative operational strategies
  • Previous experience with pharmaceutical companies is preferred
  • Experience with accounting or compliance/audit transactions, preferably in a shared service with strong compliance controls
  • Deep expertise and understanding of a large compliance related, customer facing operations team
  • Ability to engage with stakeholders to resolve issues and achieve objectives
  • Understanding of MAPP Policy terms and healthcare compliance policies
  • Proficiency with data analysis and visualization
  • 1-2 years of experience with MAPP transaction processing preferred

This position is located in San Jose, Costa Rica. Relocation is not offered neither related expense are covered.
