Medical Affairs Operations & Administrative Associates (known internally as Medical Affairs Enablement & Operations) are responsible for a wide variety of tasks. The tasks enable our Medical Affairs team to make a real difference to the lives of patients. These tasks include event management, project management, vendor management, processing financial transactions, onboarding new starters and general administrative support (eg. booking venues, meeting invitations, meeting rooms, catering). With a key focus on compliance, this role ensures appropriate adherence to all internal Pfizer standard operating procedures, corporate compliance rules and company work instructions.

This role aims to deliver an exceptional customer experience to our internal and external stakeholders, enabling our Medical Affairs experts to seamlessly engage with healthcare professionals, peak bodies, patient advocacy groups and other stakeholders while ensuring that the highest standards of compliance are consistently met.

This role is for a 12 month secondment period

How You Will Achieve It

  • The successful candidate will develop subject matter expertise in compliance, managing financial transactions, adhering to strict operational requirements for Medical Affairs consultancies and other relevant engagements.
  • Coordinating operations and logistics for the Medical Affairs team, ensuring compliant and efficient booking and oversight of all healthcare practitioner customer and consultant logistics arrangements for engagements and events; such as medical and scientific congresses, satellite symposia, Pfizer-hosted meetings, Advisory Boards and Pfizer consultancies.
  • Processing sponsorships, educational grants and vendor transactions on behalf of the Medical Affairs team.
  • Internal & External event management & booking logistics for Advisory Board meetings, patient engagements and speaker engagements.
  • Financial oversight and project spend tracking.
  • Completing Administrative and Project related tasks that support the Medical Affairs team such as managing distribution lists, booking meeting rooms, sending meeting invitations, organising catering and other administrative duties.
  • Additional responsibilities may vary, and include monitoring of digital KPIs and metrics or other tasks from time to time.
  • Deliver a great onboarding and orientation for new starters at Pfizer, including ordering equipment, name badges, business cards, etc.
  • Providing dedicated support to specific Therapy Areas or divisions within the Medical Affairs department & a great customer experience for both internal and external stakeholders.

Qualifications

Must Have

  • Positive attitude, enthusiasm and passion for great customer experience
  • An eye for detail
  • Experience in project management and/or logistics and events planning management execution
  • Excellent organisational skills
  • Strong interpersonal and communication skills with a proven track record of working collaboratively across functions
  • Planning, prioritisation, and time management skills
  • General digital competency

Nice-to-Have

  • Tertiary qualification preferable.
  • Pharmaceutical industry experience.
  • Experience in the areas of company compliance and/or industry code, regulatory statutes, and standard operating procedures.
  • Experience in business efficiency and operations, budget supervision and payment systems usage an advantage.
