Your role

Are you detail-oriented multitasker? Do you know how to make sure things run smoothly? Are you always one step ahead in knowing what comes next?

We are seeking for an experienced Executive Assistant interested also to develop a business management profile to provide support to the EMEA Technology Stream Lead. You should be a self-motivated, extremely well organized individual who takes initiative and enjoys working in a high-performance environment with a desire to proactively contribute to the business objectives.

We’re looking for an Executive Assistant to:

  • proactively manage diary, scheduling/coordinating meetings, conference calls and video conferences across multiple time zones, liaising with assistants from multiple teams across our firm and ensuring forward planning for meetings, events and deliverables
  • manage emails, reservations, travels
  • provide organizational support, including order supplies, software and hardware; publications; maintain files (paper & electronic) and other confidential information.
  • support the Operating Office with basic business manager tasks, as basic data analysis, organize material and process administrative tasks ( e.g. authorizations, maintaining DLs)
  • assist with Finance Management (incl. invoices and expenses administrations)
  • miscellaneous ad-hoc requests.

Your team

You’ll be working in the EMEA Technology Crew in Poland and play a key part in representing the Stream when dealing with senior stakeholders. Aligned with our team of Business Managers specialized in different topics which varies from financial administration to HC processing and general support.

Your expertise

  • ideally you would have 5+ years of Executive Assistant experience, Global Wealth Management experience is beneficial although not essential
  • proficient in Microsoft Office (Outlook, TEAMS, Word, PowerPoint, Excel, AmEx)
  • confident in creating sophisticated PowerPoint Presentations
  • resilient with the ability to prioritize and work under pressure with tight deadlines
  • keen attention to detail, organized and able to seamlessly multitask
  • proven written and verbal communication skills in English
  • comfortable interacting with colleagues at all levels
  • flexible, adaptable, can-do attitude
  • able to work flexible hours, when needed
