The Office Manager is essential in creating a friendly, safe, and welcoming environment for employees and visitors. We are looking for someone that has experience working in a high-end professional office environment planning and executing the day-to-day operations necessary to keep our San Francisco office running at optimal performance.

The Office Manager is essential in creating a friendly, safe, and welcoming environment for employees and visitors. We are looking for someone that has experience working in a high-end professional office environment planning and executing the day-to-day operations necessary to keep our San Francisco office running at optimal performance. 

KEY RESPONSIBILITIES 

  • Lead the day-to-day operations of our newly renovated San Francisco office.
  • Work alongside the Receptionist, Executive Assistants, IT personnel, and all employees to coordinate room reservations, meeting requirements, catering needs, space preparation, and other facilities support essential to the execution of day-to-day activities and occasional on-site events.
  • Conduct daily office tours of the office to check that all common areas, conference rooms, restrooms, and open areas are clean, functional, and welcoming. 
  • Manage all third-party Facilities vendors including but not limited to our Janitorial, Floral, Building Maintenance / Engineering and Food Service Providers 
  • Plan and implement office wide food service program. 
  • Proactively develop relationships with key internal partners, gaining recognition as a team resource and go-to person for office related questions.
  • Collect occasional feedback from employees on the in-office experience and services we offer. Develop an improvement plan when needed.
  • Work closely with employees to understand and support the business needs of the workplace. 
  • Manage all Facilities third party contracts and work with Bain Capital’s Procurement Team to ensure all of our third-party service contracts are current.
  • Work with Building Management to resolve any issues accordingly.
  • Monitor, accept and respond to all office requests, providing excellent customer service in a timely manner. 
  • Manage onboarding and offboarding facilities procedures, including new hire office tours and workstation set ups.
  • Meet with delivery personnel and third-party vendors.
  • Occasionally work after hours to meet with contractors to fulfill preventative maintenance projects and/or emergency repairs. 
  • Facilities and logistics representative, working closely with our building partners and vendors to maintain office space, ensuring quality on-time service and efficient practices, keeping our office standards to the highest quality, and creating a welcoming environment for all who enter the space.
  • Manage all incoming mail and deliveries.
  • Oversee and support workplace programs and other initiatives that impact daily employee experience.
  • Create an environment of “I’m here to help!” and “Let me find out” to provide employees and visitors answers for day-to-day- questions.

GENERAL QUALIFICATIONS

  • High attention to detail for maintaining a Class-A office environment and experience for employees and visitors
  • Positive and professional attitude, excellent customer service and interpersonal skills 
  • 4-7 years of related experience in a professional office setting
  • General knowledge in commercial building systems, including HVAC
  • Familiarity in conducting internal office moves
  • Extremely Detail-oriented
  • Excellent organizational and time-management skills 
  • Has a keen eye for maintaining high-end spaces
  • Strong written and verbal communication skills
  • Demonstrate thorough follow-up skills
  • Comfortable meeting and engaging with new people with a warm demeanor, being able to assess circumstances, empathize and offer help.
  • Intermediate skills with Microsoft Office Suite products and Zoom. Desire to learn new technologies and digital tools.
  • Ability to work requiring significant walking or through other means of mobility.
