Job Overview:

The Chief of Staff must be a creative problem solver who can bounce fluidly between minute details while staying attuned to the macro vision of the department. The primary responsibility will be overseeing day-to-day operations to allow the Division CIO responsible for growth and senior management to focus on strategic priorities. The role will support the Data Technology CIO and their management team and will be critical in maintaining the existing function and working with the team and the processes required to run a large department and integrate with the CDO and other CIO areas.

Responsibilities:

  • Strategic Partnership: Partner with the CIO of Data Technology to develop and execute strategic initiatives that leverage data to enhance the client and advisor experience, optimize operations, and drive business growth. Act as a trusted adviser to the CIO and their leadership team.
  • Executive Management: Manage the CIO's calendar and ensure efficient use of their time. Anticipate needs, proactively identify, and address challenges, and prepare briefing materials for key meetings and presentations. Manage the governance and production of the CIO’s executive-level dashboard, which includes key performance metrics that provide transparency into the effectiveness of the portfolio and strategic messaging aligned with corporate goals.
  • Communication & Reporting: Develop clear and concise communication strategies to keep the CIO and senior leadership informed of key data technology initiatives, progress, and potential risks. Prepare executive level reports and presentations, including the Board of Directors, Management Committee and Executive Steering Committees. Prepare influential executive level presentations to facilitate fact-based business cases, recommendations, and program updates. Establish and maintain effective management and reporting routines that allow the CIO to focus on top priorities and strategy.
  • Operational excellence: Assist the CIO in creating department goals and operationalizing the business plan. Collaborate with technology teams and other partners to build the OKR dashboards and measure results.
  • Finance and Business Management: Partner with Finance to develop and also track against the annual budget that supports the organization’s strategic initiatives. Partner with the PMO to manage and oversee the portfolio financials, status and key watchouts. Manage workforce planning which includes talent calibration, location strategy, staffing ratios. Oversee all aspects of headcount and staffing matters.
  • Organizational excellence: Assist with the planning, preparation and facilitation of CIO management routines (e.g. Strategy Offsite, Staff meetings, Executive Leadership Team Meetings, Town Halls). Continuously identify opportunities to improve communication, workflow, and overall team effectiveness within Data Technology.
  • Project Management: Lead and manage complex data technology projects, ensuring they are delivered on time, within budget, and meet established goals. Foster strong collaboration between internal stakeholders and external partners.
  • Talent Management: Assist the CIO in talent development and recruitment efforts within the Data Technology organization.

Requirements:

  • Bachelor’s degree in business administration, Engineering, or a related field (MBA preferred)
  • 5+ years of experience in a fast-paced financial services or technology environment
  • 5+ years of previous experience in Chief of Staff or similar role
  • Proven experience working with senior executives in a strategic advisory capacity
  • Strong project management skills with a demonstrable track record of delivering results on time and within budget

  • Expert presentation skills, both in terms of creating clear messaging and professional presentation and delivery.
  • Ability to manage confidential information with strong judgment
  • Highly collaborative with experience in leading and influencing teams and individuals across lines of business, functional areas, and different levels of an organization; Courage to hold peers and others not directly in the reporting line accountable

Preferences:

  • Deep understanding of data management principles and their application in a financial services setting (a plus)
  • Ability to manage multiple initiatives concurrently in a fast-paced, entrepreneurial environment

Pay Range:

$127,400-$191,100/year

Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
