What you will do

In this role, you will provide specialized and advanced administrative support, of both routine and confidential in nature, to the Group Area Vice President of Sales and his team. The responsibilities require independent judgment, initiative, and executive intuition in supporting the needs of an executive and team. This position requires a high degree of flexibility and adaptability to balance the often-conflicting needs of employees, management, and the business. Prioritizing, scheduling, implementing all tasks with a sense of urgency, meeting timelines, and deliverables are key to success while maintaining the highest level of confidentiality and ethics. Additional responsibilities may require you to:

  • Build effective working partnerships with members of the team and across teams in the business, function, and company.
  • Manage the calendar for the assigned leader.
  • Gather, compile, verify, and analyze information for use in documents such as email, communications, PowerPoint presentations, and business reviews. 
  • Proofread and edit documents, providing accurate feedback on grammar and spelling.
  • Develop processes for compiling data and content for meetings while ensuring alignment with the organization’s overall objectives and branding guidelines.
  • Ensure important meetings and content for meetings are effectively coordinated and executed.
  • Own the process improvement projects that will drive efficiency amongst the leadership team.
  • Schedule meetings, secure facilities/equipment, and prepare meeting materials both on and offsite.
  • Process invoices, expense reports, and department expenses for approval; track and reconcile to departmental budget.
  • Generate, route, and file required documents according to prescribed schedules and processes.
  • Format, generate and route reports according to proscribed schedules.
  • Plan and coordinate travel for team members, where applicable
  • Enter, administer, and review systems data as required

What you need:

  • High School diploma or equivalent
  • 5+ years of work experience in progressively advanced administrative support
  • Advanced proficiency with MS Office applications

Travel Percentage: 30%
