MAIN PURPOSE OF JOB:

Receiving and dispatching orders for project activities.

Dispatching Duties:

  • Responsible for dispatching field personnel, mission, and trips within the city by complying with MSH policy and procedures.
  • Accurately enter data into databases to maintain up-to-date transportation records and to scheduling and dispatching routes and drivers as and when required.
  • Use radio, phone or computer to send crews, vehicles or other field units to appropriate locations.
  • Monitor the route and status of field units to coordinate and prioritize their schedule.
  • Provide field units with information about orders, traffic, obstacles, and requirements.
  • Tracking of all vehicles on field movements.

Vehicle Maintenance:

  • Assist with proper day-to-day maintenance of the assigned vehicle, ensure timely minor repairs, arrangements for major repairs, timely servicing of vehicle so that the vehicle is kept clean and in good running condition at all times (exterior car wash and interior cleaning/vacuuming; change oil, purchase of battery etc.).
  • Coordinates vehicle service and mechanical repairs with transport supervisor and procurement department to assure uninterrupted service delivery.
  • Inspect vehicle before and after every trip.

Administration:

  • Prepares, receives and provides appropriate documentation for the delivery or pick up of passengers to ensure timely and accurate transportation.
  • Coordinate with admin unit on trip scheduling.
  • Promptly complete logbook and other daily vehicle records.
  • Pays close attention to detail and adheres to standard operating procedures

Other Duties:

  • Provide support to MSH provincial offices in the terms of transportation as and when required.
  • In charge of resolving any issues that may affect the scheduled times for pickup or delivery.
  • Demonstrates the ability to work safely and carefully to prevent injury to self or others.
  • Carry out any other responsibility as assigned by the supervisor.

QUALIFICATIONS

REQUIRED MINIMUM EDUCATION: 

  • Completion of secondary school and high school is preferred. 

REQUIRED MINIMUM EDUCATION: 

  • At least 4 years of experience working in an environment similar to or closely related to MSH type of work.

KNOWLEDGE AND SKILLS:

  • Excellent clerical and organizational skills to keep track of schedules, routes, and personnel.
  • Knowledge of computers for scheduling and other dispatching duties.
  • Previous knowledge of dispatching and logistics coordination.
  • Knowledge of procedures and guidelines for emergency situations.
  • Familiar with the law and procedures in vehicle registration, licenses, and insurance.
  • Driving, and troubleshooting (mechanical, electrical).
  • Knowledge of main roads, landmarks; inner streets.
  • Knowledge of current/new traffic rules and regulations.
  • Knowledge of measures to ensure cost-savings through proper use of vehicle; timely maintenance, repairs, purchase of parts for replacement; efficient scheduling of trips.

COMPETENCIES:

  • Flexibility to provide office support as needed.
  • Ability to work under stress and remain calm and to calm other people during rapidly changing circumstances.
  • Ability to multitask with different, and sometimes conflicting, events happening at the same time.
  • Ability to communicate and transmit information clearly.
  • Ability to operate dispatching equipment.
  • Ability to have knowledge on minor repairs to the vehicle.
  • experience with experience performing computations preferred.
  • Demonstrated punctuality, attention to detail, patience, good humour, flexibility, and overall positive attitude.
  • Proficiency in local languages and English
