What is the opportunity?

You will be the Executive Assistant to the Head of UK, Global Client Coverage within RBC Investor & Treasury Services.

What will you do?

  • Responsible for diary management and coordination of both internal and external schedules and daily reconciliations
  • You will be the key contact with external travel companies and have a primary focus to organise all travel and accommodation for business-related travel including transfers and full itineraries. You will need to monitor the spend, ensuring you obtain the best price offers and run price comparisons to support the budget
  • Prepare, type and format all correspondence, presentations and supporting material involving, at times, confidential information
  • Communicate, liaise and take accurate telephone messages, referring calls forward, where appropriate
  • Meet and greet clients and external visitors as and when required
  • Responsible for meeting room books and organising refreshments
  • Review and complete all expense and travel claims and reconciliation with Concur within agreed timeframes ensuring each submission falls within RBC guidelines agreed within the RBC Investor Services’ policies and procedures manual
  • Maintenance of holiday and sickness records and detail management for both internal and external contacts
  • Provide executive support on all matters relating to deadlines and commitments
  • Coordination and minute-taking for local Management Committees (MCs) / Management Meetings (MMs) including collation of supporting documentation and the circulation of minutes and actions
  • Ensure all CC collateral is collated and sent within the specified timeframes when required at IS OC (Investor Services Operations Committee) / I&TS OC / MCs 
  • Monitor CC action items from the IS OC / CC MMs / MCs and diarise, where necessary
  • Assistance with quarterly Town Halls including collation of presentations and coordination of speakers
  • Work with Graphics team to ensure precise branding and internal communications policies are being followed for all content being produced
  • Coordination of conferences and Client / Corporate events within budget
  • Ability to provide MCV reports for ad hoc reporting requirements
  • Ensure all key collateral is retained centrally
  • Responsible for maintaining and storing all documents for those Clients where senior coverage applies i.e. SRR, profiles
  • When required, play a key role in the development and support of prospective new business deals
  • Ensure all business contacts are contained within a centralised database and on individuals in Outlook
  • Organisation of offsite meetings, liaising with external providers (hotels and speakers), as appropriate
  • Assistance with bespoke projects that arise from time to time.

  • Proficient in Microsoft Word, Excel, PowerPoint
  • Strong written and verbal communication
  • High degree of trustworthiness and confidentiality.

Nice-to-have

  • Experience with working for a large organisation in a similar role
  • Knowledge of Concur.
