What is the opportunity?

You will provide key secretarial and administrative support to the Managing Director(s), Relationship Managers, and other members of the Sales & Relationship Management group, with particular focus on supporting the Sales Managers. You will work collaboratively with the Business Management team, by closely monitoring the departments activities and undertaking a wide range of administrative, secretarial and project-based duties with minimal guidance.


What will you do?

You will undertake the following:


  • Co-ordinate and organise meetings, conference calls and other business related engagements (including events). Ensure internal and external meeting rooms are reserved and refreshment bookings are made, highlighting conflicting appointments and use initiative to resolve sudden changes to itineraries
  • Organise domestic and international trips including all travel arrangements, accommodation, visas. Maintain itinerary with updates, prepare expense re-claims, respond to ever-changing travel arrangements at short notice. Co-ordinate visits from Senior Management from overseas and where required, organise their itineraries, accommodation and hotel transfers and further, track and manage UK business days for Relationship Managers with respect to Cross Border rules
  • Respond in a professional manner to incoming telephone calls, and monitor and respond to incoming email and voicemail. Gather and rely information, including sensitive matters that require diplomacy
  • Organise incoming / outgoing mail and faxes, courier services, special delivery requirements and maintain filing systems, including confidential material
  • Help to manage flow of communication downwards to ensure faster and more efficient execution on individual or recurring topics (i.e. management information data, risk and governance management, etc.)


  • Project management and execution monitoring. You will also undertake some file remediation when necessary
  • Undertake research assignments, compiling information using own initiative
  • Other ad hoc duties for Business Management team and Sales Managers as and when required


What do you need to succeed?


  • Minimum ‘A’ Level standard or equivalent
  • Proven Executive Assistant experience ideally within Financial Services or Professional Services
  • Excellent knowledge of MS Office (Word, Excel, Powerpoint, Outlook)
  • Excellent organisational and administrative skills, with a good level of accuracy
  • Personable with the ability to represent the company in a professional manner with senior contacts and external clients
  • Ability to work to tight deadlines and manage workloads and work independently
  • Experience within the RBC network would be an advantage
