We are looking for a highly motivated, diligent, and skilled individual to join our exciting and dynamic Actuarial organization, as an Executive Support and Project Coordinator. The Executive Support and Project Coordinator will support Prudential’s SVP & Chief Actuary and some additional senior leaders within the function as necessary.

The current EWA for this position is Hybrid and requires your on-site presence on a reoccurring basis as determined by your business. Your manager will provide additional details relative to the specific number of days you are expected to be on-site.

Success in the Executive Support and Project Coordinator role includes exercising superior judgment based on in-depth experience, advanced technical proficiency, and exceptional time management skills. The Executive Support and Project Coordinator will be focused on developing strong, collaborative relationships across multiple constituents to enable progress, and must act as an extension of the team they support in various communications. You will partner with business leaders and their teams to understand communications strategy, processes, and systems and to support the day-to-day operations and individual projects, as needed.

Impacts You’ll Have:

  • Organizational Time Management: Work closely with the SVP & Chief Actuary by assisting with the optimization of their time, including:
  • Coordination of complex internal and external scheduling and extensive calendar management for the leader (e.g., anticipating conflicts and being proactive in calling attention to critical meetings that require prep by leader)
  • Read, research, and route email correspondence; draft emails and documents; collect and analyze information for principal leader review
  • Demonstrate strong business acumen (including learning the various Businesses & Functions) and organizational savvy to effectively prioritize and manage requests; provide the appropriate degree of flexibility and ensure follow-through on issues in a timely manner
  • Handle logistics for team meetings, including anticipating technology needs, preparing materials (agendas, pre-reading), tracking meeting attendees
  • Send meeting invites with details, meeting materials and any other content needed
  • Coordinate travel logistics and conduct expense management for principals
  • Communications Support: Work with leaders on representing their brand and the team’s brand
  • Communication support for leaders, including preparing documents and presentations for use with senior audiences, and assistance with writing and reviewing messages
  • Assist with reviewing meeting materials and content being shared across the team and with business partners
  • Collect meeting topics, create meeting agendas, and capture next steps to accelerate workflows discussed during team meetings. This includes SLT, ELT, and Town Hall type meetings/events.
  • Work with the enablement team on function specific events such as routine function meetings, town halls or training that require larger technology support and preparation
  • Utilize and promote Microsoft Office 365 Suite, Microsoft Teams, SharePoint, OneDrive and other video/teleconference and collaboration tools
  • Collaborate with peers in role across the function to facilitate meeting planning across the senior leadership team and to ensure coordination of back up support is established
  • Team Liaison: Represent the leaders and the team as a key contact for the work they lead
  • Act with high levels of professionalism in representation and handling of all phone and email communications
  • Work collaboratively with other administrative staff, project coordinators or support functions with meeting coordination or project work
  • Act as a trusted partner to the team and demonstrate sensitivity for confidential matters discussed or shared; maintain and ensure the integrity and confidentiality of all information and data
  • Develop and maintain strong, credible relationships across the business
  • Assist in Supporting Projects: Work with leaders and teams on various projects or assist with work that spans across different areas
  • Coordinate day-to-day 10 Wash floor support, consistent with the Company’s return to the office strategy, maintaining office and café supplies, and partnering with Corporate Real Estate and Global Technology support teams to ensure facilities are operational
  • Provide administrative and coordination support on the maintenance of standard operating procedures, workflow documentation, and ad hoc news monitoring
  • Streamline, format, and organize data and documentation of materials, presentations, etc., with a keen eye for detail and maximizing efficiency
  • Creation of PowerPoint presentations, Word, and Excel documents on a regular basis
  • Ability to participate on cross-functional teams and potentially lead a small team or group on special projects under the guidance and direction of principal leader
  • Lead for updates needed on relevant Team SharePoint pages, or other internal/external platforms the team leverages for operations and procedural updates and team information

What you’ll need:

  • 3-5 years of prior, relevant work experience, supporting diverse teams and senior executives
  • Superior proficiency with technology skills, specifically in the use of Microsoft 0365 Suite (Word, Excel, Advanced PowerPoint, Teams, SharePoint, Outlook) and the ability to learn necessary Prudential applications
  • Strong organizational awareness and ability to build relationships
  • Extensive calendar management capability
  • Prioritization skills and ability to be proactive:
  • Proactively monitor calendars for conflicts or reprioritization, keeping team members informed of upcoming commitments and responsibilities, and making necessary adjustments Communicate across teams about priorities and business objectives
  • Strategic thinking while managing tasks and linking the work across functions and businesses
  • Strong attention to detail and quality of work
  • Ability to coordinate meetings across various geographies, time zones, etc.
  • Strong time management skills and ability to meet tight deadlines while managing multiple tasks
  • Problem-solver who thinks laterally to resolve situations and find the right answers
  • Agility and ability to handle heavy workload, mediating many demands and requests
  • Willingness to continue to learn; embraces change and enterprise transformation efforts

The salary range for this role is from $76,800.00 to $114,400.00. Specific pricing for the role may vary within the above range based on many factors including geographic location, candidate experience, and skills. Roles may also be eligible for additional compensation and/or benefits. Eligibility to participate in a discretionary annual incentive program is subject to the rules governing the program, whereby an award, if any, depends on various factors including, without limitation, individual and organizational performance.
