For the CGI 2024 Annual Meeting, we will organize and execute numerous sessions detailing solutions to the world's greatest challenges, featuring speakers from across the private and public sectors. The Programming Coordinator will support the Programming team in managing speaker lists and logistics leading up to and throughout the September meeting. 

This is a project-based role from May 20, 2024 - October 4, 2024, and is open to NYC based candidates. 

Core Responsibilities 

Speaker management logistics: 

  • Compile materials for speaker briefing documents and other speaker-related marketing collateral 
  • Schedule briefing calls and coordinate schedules internally and externally 
  • Support the speaker vetting processes 
  • Assist with data management for event logistics and speaker information in Airtable 
  • Support invitation tracking: update all speakers and RSVP status in CGI’s CRM platform as well as Airtable and CGI internal documents 

Additional pre-event, on-site, and post-event support: 

  • Support speaker registration and credentialing before and during CGI events, in partnership with CGI event operations team members and third-party vendors 
  • Provide exceptional customer service for speakers in the lead-up to events, on-site, and as part of event follow-up 
  • Assist with miscellaneous tasks during events 
  • Support management of post-event activities, wrap up reports, collateral, and thank you letters for speakers and partners 

Administrative support: 

  • Support CGI and Clinton Foundation senior leadership teams on tasks such as event operations logistics, preparing speaker invitations, and consolidating and distributing relevant information from various CGI platforms 
  • Conduct research as needed to support speaker identification and invitation drafting 

Minimum Qualifications 

What we’re looking for: 

  • Undergraduate degree required
  • At least 2 years of professional experience in the field.
  • Strong communication skills, both written and verbal, in English. 
  • Excellent writing/copy-editing and attention to detail. 
  • Ability to streamline processes, promoting efficiency and clarity. 
  • Fast and eager learner, with critical thinking and problem-solving skills. 
  • Experience managing large lists and datasets. 
  • Experience planning and executing events. 
  • Experience with Microsoft Office suite and Google Drive. 
  • Experience using Blackbaud or other CRM systems is a plus. 
  • Experience using Airtable or other project management software is a plus. 

Compensation & Benefits 

Our best estimate of the compensation range for this opportunity is $24 - 25 hourly, depending on the experience you bring. This role is eligible for overtime pay. This range is based on NYC market rates and may be adjusted if you will be working remotely. We look forward to discussing our compensation pricing strategy, and your expectations, throughout the interview process.
