Job Description

The Customer Operations Specialist will be responsible for providing support in customer support, credit analysis, and collections for the full portfolio. Will assist in the billing and distribution operations with 3PL, maintenance of customer and product master data, and stocks management with 3PL. The specialist will also support the implementation of good distribution and storage practices, track and control stock levels, and perform required closing activities. Additionally, will provide customer support, track commercial agreements, analyze KPIs, support cash application and order processing activities, and perform credit limit analysis.

Key Responsibilities

  • Support all activities related to customer support, credit analysis, and collections.
  • Assist in the control and distribution management of vaporizers.
  • Support billing and distribution operations with 3PL.
  • Maintain customer and product master data.
  • Manage stocks with 3PL, including reconciliations, physical counting, adjustments, and product aging control.
  • Implement good distribution and storage practices in partnership with QA and 3PL.
  • Collaborate with FP&A and Planners to track and control stock levels, shipments, safety stock, and shelf-life.
  • Assist in required closing activities, including reconciling stocks, inventory, and BDR accruals, and conducting pricing impact analysis.
  • Provide customer support, including resolving issues and processing orders.
  • Collaborate with KAMs and Commercial teams to ensure optimum customer support.
  • Execute and track commercial agreements.
  • Analyze data and prepare dashboards to ensure visibility of KPIs to leadership. 
  • Track customers' debt and implement mitigation actions.
  • Perform recurrent credit limit analysis for existing and new customers - Assist in the calculation and analysis of annual price reviews.
  • Support the calculation and analysis of monthly credit notes.
  • Support bank guarantees transactions
  • Assist in external reporting and fees' payments to authorities.
  • Prepare necessary internal controls and mitigation actions for identified risks in C&C and Customer Services activities.

Qualifications

Requirements

Degree in Finance, Management, Economy or similar areas 

Fluent in English, both written and verbal

Work experiences in similar roles (preferable). 

Active and clear communication, good analytical skills, easy adaptation to systems and other analytical technologies, pro-active and independent to execute tasks.
