Senior Facilities Manager 

We are looking for a Senior Facilities Manager for our Work Dynamics business line. 

What this job involves 

We are seeking a highly skilled and dedicated Senior Facilities Manager to join our team. In this role, you will have the exciting opportunity to manage a portfolio of client spaces across EMEA and lead a dedicated account team.

As the Senior Facilities Manager, you will be responsible for various aspects, including overseeing IFM vendors, ensuring EH&S compliance, fostering strong client relationships, and maintaining control over service budgets. You will be the key point of contact for key stakeholders and clients, providing exceptional support and ensuring their needs are met. Reporting to the EMEA Account Director, you will play a vital role in the overall success of our operations.

Your primary focus will be on service quality, managing soft services, maintenance and operations, contract services, ensuring safe working practices, and handling the procurement of materials, equipment, and supplies. Accuracy in managing site budgets will also be crucial.

Key responsibilities include

  • Leading and managing a small team with direct line management responsibility
  • Taking ownership of the account and ensuring strong vendor management
  • Overseeing EH&S and risk management practices
  • Handling financial management and cost control
  • Building a positive work environment with high staff morale and strong work ethics
  • Utilizing excellent communication and presentation skills
  • Fostering teamwork, cooperation, and performance excellence within the team
  • Mentoring and enabling training & development of team members
  • Managing client and stakeholder relationships, conducting management reviews and business reviews
  • Proactively engaging stakeholders to meet client expectations
  • Overseeing procurement and vendor management, ensuring adherence to guidelines
  • Managing contracts, monitoring expirations, and initiating re-procurement as needed
  • Ensuring financial operations meet or exceed targets, following JLL's Code of Ethics
  • Maintaining a safe working environment and ensuring compliance with health and safety regulations
  • Implementing quality improvement practices and industry best practices for site operations
  • Meeting Critical Environment (CEM) requirements
  • Regularly reviewing operations to reduce costs and improve standards
  • Implementing risk management procedures and incident reporting protocols
  • Assisting in developing guidelines for compliance with JLL's business conduct principles

Desired skills and experience for this job 

  • Excellent interpersonal skills and ability to effectively engage with diverse client staff and meet their demands
  • Strong communication skills in both the local language and proficient in extended English
  • Knowledge of Occupational Safety requirements and experience in maintaining positive Works Council relationships
  • Proficiency in PC literacy and adept at managing daily activities using various systems
  • Familiarity with quality management practices and experience in measuring KPIs
  • Understanding of vendor management for specialized services
  • Ability to comprehend and interpret commercial contracts and relevant terms
  • Skilled in budget management and financial analysis
  • (Optional) Familiarity with critical facilities and basic technical aspects of property, such as Computer Room Air-conditioning, Chiller systems, Fire Protection systems, Mechanical & Electrical systems, and BMS systems
  • Experience in move and relocation management and delivery
  • Tertiary qualification in facilities management, building, business, or related field, and/or 3-5 years of experience in facilities, property management, hospitality, or a related field
