Role Description

The Global Passive Operations function within Technology & Operations was created as a key interface between Operations and our stakeholders across Passive Portfolio Management, Product and Capital Markets and rolls up into the newly founded group “Global Operating Platform since August 2022.

Global Passive Operations acts as a dedicated partner for operational topics including process enhancements and project, issues, and escalation management within the Passive business pillar. Topics covered by the team usually require a strong internal network and a broad knowledge across different operational processes within DWS which helps to perform assessments followed by improvement or implementation of processes, specific technology, or systems.

The role of Passive Operations is global and involves requests from all Passive business pillars around the world including direct engagement with appointed external business partners and / or clients.

The team will consist of 25 people located in London, Frankfurt, Hong Kong, and Pune. We invite you to grow with us in a dynamic environment, to become an important part of the Global Operating Platform and make decisive contribution to the success of our organisation.

We are specifically recruiting an individual to support the EMEA ETF business. A prior understanding of Funds, Exchange Traded and/or Securitised Products will therefore be beneficial. Ideally the candidate will also have knowledge within the field of invoice management.

Your key responsibilities

Global Passive Operations – essential functions:

The Operations Specialist is responsible for a timely, complete, and accurate processing of tasks such as the following:

  • Accountable for accurate and on-time processing of all run the bank tasks with regards to invoice management
  • Accountable for delivering change the bank activities.
  • Accountable for defining operating processes and documenting procedures.
  • Provide advice and process knowledge across managed tasks and beyond.
  • Escalation management in case of delays in co-operation with Procurement and Finance
  • Ad-hoc assessments of issues arising including status reporting to management.
  • Support to ensure operational stability in close co-operation with internal and external stakeholders.
  • Leading process improvement projects and other change the bank initiatives.
  • Reporting of key performance indicators to management

A more detailed overview of your tasks:

  • Budget forecast in close co-operation with various internal stakeholders.
  • Raising of purchase orders upon budget agreement incl. timely follow up with Procurement teams.
  • Supporting internal stakeholders in raising contract workspace identifiers
  • Maintenance of budget trackers for correct forecasting performed by Finance.
  • Validation of received invoices before processing in internal systems.
  • Ad hoc escalation management in case of vendor complaints in close co-operation with Procurement and Finance
  • Build and foster relationships with internal and external stakeholders including Operations management.
  • Independent handling of change the bank initiatives including stakeholder management.

Your skills and experience

  • Bachelor’s or master’s degree in economics, or related field, or equivalent experience.
  • Very good understanding of asset management operations (trade life cycle), exchange traded funds, involved financial products.
  • 3-5 years of experience within the Asset Management sector or a comparable function.
  • Excellent analytical skills and structured approach; able to comprehend new topics quickly and create the right framework for further assessment and implementation.
  • Experience with SAP, dbBuyer, dwsBuyer of advantage
  • Advanced skills in using MS Office
  • Self-driven attitude, willing to improve the status quo and achieve tangible outcomes.
  • Strong and committed team player, ability to connect quickly to build internal and external network.
  • Full professional proficiency in English with excellent communication skills
