The Executive Assistant will provide professional executive support to the Chief Financial Officer and the Chief Client Officer.

In this role, responsibilities include but are not limited to:

  • Maintain an effective line of communication between the Chief Financial Officer and Chief Client Officer and their direct staff
  • Work cooperatively with all team members to support the achievement of the work plan activities designed to achieve identified goals and objectives;
  • Perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and calendar management.
  • With the assistance of the appropriate subject matter expert prepare Powerpoint/Google Slide decks for broader presentation
  • Coordinate and organize meetings and conferences including booking meeting venues, organizing catering requirements, compiling meeting materials and tending to other requirements of executive meetings;
  • Prepare meeting agendas, records and distributing meeting minutes, including follow up on action items and maintaining organized files;
  • Coordinate and complete significant special projects independently or in cooperation with other groups as directed by the management team or delegate
  • Produce schedules, and correspondence as required;
  • Complete confidential administrative services as required
  • Produce and/or assist in the production of required internal and external reports;
  • Regularly review progress on standard department deliverables and take appropriate action to ensure timely completion of all department tasks;
  • Other ad hoc duties as required

  • Post- Secondary education in Business Administration (or equivalent)
  • 5+ years of relevant Executive level support experience
  • Advance abilities using G-Suite, Microsoft Excel and PowerPoint
  • Demonstrated problem-solving, analytical, and decision-making skills.
  • Superior organization, presentation and written communication skills.
  • Tech-savvy and people oriented
  • Highly organized and able to manage multiple tasks under tight time frames
  • A self-starter who can work both independently and function well within a team
  • Ability to manage efficiently in a multi-tasked environment and ensure deadlines are met by prioritizing work flow
