Description

The Administrative Assistant is responsible for coordinating many projects related to their team. This individual must show strength in their communication skills as well as in maintaining and updating team reports and other materials. They are involved with maintaining team member calendars and scheduling as well as work in correspondence with various employee needs.

Principal Accountabilities:

Under direct supervision, the administrative assistant supports the Office Management Operations in providing a safe, efficient, professional, comfortable working environment by ensuring that facilities and office services are available, functional and cost-effective.

The responsibilities include, but not limited to the following in his/her assigned area of work:

  • Assists in planning the schedules & monitoring the work of housekeeping & maintenance staff deployed in the assigned area.
  • Maintain stationery & office supplies, which includes inventory management and re-stocking of supplies.
  • Provide support in managing the cafeteria, pantry & the food kiosk operations as required.
  • Facilitate & coordinate for any seat movements.
  • Ensure that the pest control operations are conducted as per the schedule.
  • Assist in maintaining the office furniture & equipment’s at site & scheduling preventive maintenance /AMC contracts.
  • Support the office management team in organizing events, meetings etc.
  • Assist in organizing transport for employees & visitors.
  • MIS management & reporting
  • Invoices verification & tracking
  • Provide executive support to India Center Head – Manage calendar, schedule & coordinate meetings, submit expense reports, takes notes or transcribes as necessary in meetings and help manage travel schedules & coordinate travel logistics.

Skills & Software Requirements:

Proficient in technologies such as MS Office, telephone, teleconferencing, web conferencing (Tandberg).

Exp : 5 - 7 Yrs.
