The candidate must be able to report into our Pasadena office. 

Job Responsibilities:

  • Greet, welcome, guests, clients, vendors, and visitors of the firm
  • Notify company personnel of guest arrival 
  • Maintain security and telecommunications system
  • Provide administrative support to Financial Advisors and assist FA's with special projects as needed
  • Coordinate and prepare for client review meetings 
  • Access employee and department directories to properly direct and triage incoming inquiries
  • Maintain security by following procedures, monitoring the logbook, and issuing visitor badges
  • Operate telecommunication system by following manufacturer’s instructions for house phone and console operation
  • Keep a safe and clean reception area by complying with procedures, rules, and regulations
  • Maintain professional conduct with clients via email, phone, and in-person interactions 
  • Prepare correspondence, presentations, and reports upon request
  • Follow up on deadline-driven tasks and issues
  • Answer phones and take detailed, accurate messages
  • Maintain files and documents
  • Perform other tasks and duties as required and assigned
  • Bachelor’s degree from an accredited University preferred
  • Minimum 1 year of experience handling administrative duties
  • Ability to use multi-line phone systems
  • Excellent display of professionalism through email, phone and in-person interactions
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Strong verbal and written communication skills
  • Excellent customer service skills
  • Polished and professional appearance and presentation
  • Highly organized and able to multi-task and manage multiple projects and competing priorities without sacrificing accuracy or efficiency
  • Strong collaboration and team building skills
  • Ability to maintain a high degree of accuracy in a fast-paced, deadline-driven environment
  • Ability to work independently as well as within a team and prioritize daily workflow with little direction

Applications will be accepted until the position is filled. Decisions regarding compensation are determined on a case-by-case basis and are dependent on a variety of factors including but not limited to location; skill sets; experience and training; licensure and certifications; and other business and organizational needs. A reasonable estimate of the current hiring range is $40,000 to $55,000.
