Project Admin (HR) Senior Executive - Your future position?

As the Project Admin (HR) Senior Executive , you will manage project deliverables in order to fulfil specific demands of site according to guidelines, while supporting on HR elements such as HR admin, employee relations, legal & compliance, and more. This role is based in Ayer Keroh, Melaka and you will be reporting to Head of Operations & HR Director, Malaysia.

Project Administration:

  • Support Hornbill project administration activities in collaboration with management.
  • Manage relationships with external vendors.
  • Oversee facilities management.
  • Ensure compliance with authority regulations.

HR Administration:

  • Provide HR generalist support to managers with guidance.
  • Identify and address trends/issues, involving appropriate resources.
  • Support organizational effectiveness through team building and role clarification.
  • Participate in people management activities, including performance management and compensation reviews.
  • Collaborate with Talent Acquisition Team in recruitment processes.
  • Provide on-site consultation for annual cycles, performance reviews, and benefits inquiries.
  • Assist with foreign workers-related matters.

Employee Relations:

  • Offer counsel on HR matters to managers and employees.
  • Interpret and guide on HR policies and employment law.
  • Manage employee relations issues and implement key HR processes effectively.
  • Support and coach managers to comply with legislation and policies.
  • Investigate and resolve grievances, disputes, and disciplinary issues.
  • Draft disciplinary letters when required.
  • Lead domestic inquiry investigations on misconduct issues.
  • Advise and train managers to ensure compliance with employment contracts and regulations.

Legal & Compliance:

  • Provide interpretation and guidance on HR policies and employment law.
  • Ensure organizational compliance with employment law and implement new legal requirements.
  • Oversee compliance with occupational health matters.
  • Inform and advise managers and staff about relevant legislation and policies

Your professional profile includes:

  • Bachelor's degree or Diploma in Business Administration, Human Resources, or a related field.
  • 4-5 years of experience in project administration and/or HR, preferably in international organizations.
  • Position based in Ayer Keroh, Melaka.
  • Preferably experienced in the manufacturing sector.
  • Experience in supporting HR administration, local labor laws, and employee relations.
  • Experience working with operators and foreign workers is an added advantage.
  • Willingness to be hands-on and manage administration and coordination activities on-site.
  • Able to work independently, responsibly, and easily adaptable.
  • Proficiency in spoken and written English & Bahasa Malaysia.
