Position Summary

This individual will support the Conducting Officer for Oversight on the delegated functions (in particular for Portfolio Management, Marketing, IT, Depositary Banks and Finance) in the European AIFM, covering private equity, real assets and credit strategies. As Oversight Officer at Carlyle you will assist the day-to-day activities as follows.

Responsibilities

  • Oversight of Delegates: (60%) 
  • Being involved in the initial and ongoing due diligence processes and on-going monitoring on service providers and delegates, for instance: 
  • Due diligence questionnaire definition, formalisation and review 
  • Regular monitoring performed on service providers and delegates 
  • Determining, implementing and monitoring of Key Performance Indicators & Incident Reports produced by delegates and service providers 
  • Collect and assess KPI reporting with internal and external stakeholders on a quarterly basis 
  • Being involved in process reviews, drafting and implementation for existing or new delegation models 
  • Contribute to the development of the framework of procedures governing the delegation oversight
  • Assisting with the formalization of oversight materials 
  • Co-ordination with external service providers and group delegates, attend regular calls with delegates 
  • Assist in preparing the onboarding of new funds with the service providers and delegates 
  • Being involved in the registration and marketing as asked by fund formation/Fund Management teams/IR teams 
  • Assisting with the preparation, and timely and accurate execution of Service Level Agreements 
  • Assist the Conducting Officer in managing daily operations and delegates oversight activities 
  • Promptly alert Conducting Officer of any issues identified
  • Reporting (25%) 
  • Assisting with the preparation, and timely and accurate execution of Regulatory AIFM Reporting 
  • Support the Conducting Officer with the preparation of monthly meetings and quarterly board reporting materials 
  • Prepare quarterly own funds reporting including projecting AIFM AUM growth 
  • Assist with the preparation of the AIFM financial statements and aid in the coordination and oversight of the external audit process
  • Help coordinate VAT and annual tax reporting with external tax service providers
  • Assist with other operational, financial, or regulatory reporting on ad-hoc basis
  • Contribute to the implementation of new laws and regulations impacting the portfolio management, marketing and ICT activities within the AIFM (5%)
  • Administrative (10%) 
  • Administrative tasks as and when required
  • Facilitate the processing of invoices for the AIFM
  • Review of management fee invoices issued by the AIFM
  • Develop and monitor the AIFM budget

Qualifications

Education & Certificates

  • Bachelor/Masters’ Degree in Finance, Accounting, Business Administration, or similar qualification.
  • High proficiency in Excel, PowerPoint, and Microsoft Word
  • Any additional qualification/certificate is considered a plus 

Professional Experience

  • First experience or having 1-2 years of proven experience in a similar role or Luxembourg Audit Firm 
  • Knowledge & understanding of Alternative Investment Fund structures and preferably Luxembourg AIFM requirements
  • Interest in finance, marketing, ICT and alternative investments fund industry
